About this file

This is a Questions and Answers document for RFQ Number 44100-DBH0000288 issued by the Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD) for a Computerized Maintenance Management System (CMMS). The solicitation seeks a web-based, hosted CMMS solution to serve six campus-based hospitals. The RFQ was initially posted on January 10, 2012, with questions due by January 20, 2012, and answers posted on January 27, 2012. The system must support multiple browsers including Internet Explorer, Firefox, and Chrome, and accommodate 30 trained users per hospital with 20 additional users requiring remote access via handheld devices. The CMMS must manage 531 buildings encompassing 5,300,000 square feet and incorporate Joint Commission standards and healthcare-specific applications, including automatic notifications of requirement updates. The contract term is one calendar year from execution with four optional one-year renewal periods.

The current system utilizes MP2 6.0 Oracle Edition with approximately 20,000 work orders in the database. Data conversion requirements include assets, preventive maintenance schedules, tasks, work order history, materials/inventory, and uploaded documents from the legacy system. The solution must interface with NFPA Public Education resources, NECplus.org, Microsoft Office applications, and generate PDF-formatted reports, with emphasis on customized reporting capabilities. The cost worksheet must reflect a fixed and firm price for the first year with renewal years equal to the first year's cost, covering the core CMMS application, Service Request Module, mobile handheld functionality, training, and legacy system data conversion. A performance bond and letter of credit are required as stipulated in the solicitation. Funds have been allocated for this project, and no vendor demonstrations had been conducted prior to the question deadline.

12. What other applications would DBHDD want to interface with?

“NFPA Public Education” (nfpa@e.nfpa.org). NECplus.org. MS Office, e.g. Excel, Access, etc. Would also like to print reports in pdf format.

13. Section 1.7 of contract terms states an initial term of the contract is for one (1) calendar year from the execution date of the contract. The State Entity shall have four (4) one (1) year option(s) to renew. The cost worksheet only has one line item for the Total Cost of the

The cost worksheet is to include cost that is fixed and firm that the Department will pay for first year.

Renewal years should be equal to first year’s cost.

14. At a minimum, Offeror wants to show the cost to renew the hosting subscription for year 2 and beyond as per Section 1.7. There are multiple products and services to be priced to include:

Core CMMS Application Service Request Module CMMS for handhelds for mobile users Training Data Conversion of Old CMMS System

17. Has DBHDD had any vendors perform a demonstration either online or onsite?

No.
