About this file
This is an Addendum 2 Questions and Answers document for a judicial furnishings request for proposal (RFP) issued by La Plata County, Colorado, for the Durango addition project. The solicitation encompasses furniture and furnishings for a courthouse addition, including courtroom seating (gallery benches, jury chairs, and counsel seating), deliberation tables and chairs, reception and waiting room furniture, office workstations, task chairs, and storage solutions. The project involves furnishing multiple spaces across state court areas, with specific quantities including 14 post-based jury/witness chairs for one courtroom, two systems workstations in a designated room, seven free-standing office stations, and various other furniture items throughout the facility. The original proposal submission deadline of Monday, September 5th was extended to Tuesday, September 6th at 4:00 PM, as noted in this addendum dated August 25th, 2016.
The document addresses specifications and design preferences established through bidder questions and answers, indicating that respondents should propose furnishings they believe best meet departmental needs within the available budget. Key preferences identified include caster-based task chairs with mesh or faux leather for counsel seating, plastic arm chairs with faux leather for jury seating, and ergonomic considerations for all workstations, including keyboard trays and dual monitor arm holders as standard line items. The judicial department emphasized that alternative options to detailed specifications will be considered during evaluation, with special emphasis on task chair ergonomic adjustability and overall design quality. Counsel tables with data and power capabilities are preferred, and respondents are encouraged to propose storage solutions and workstation configurations tailored to the available space as part of the overall project valuation.

Questions and Answers
JUD–RFP-17-CT-ADDITION-DURANGO
La Plata County Addition
August 25th, 2016
In addition to the questions and answers shown below, the proposal submission date is moved from Monday September 5th, until Tuesday September 6th at
4:00PM.
In all cases where detailed items are being described in the Q&A below (seat types with faux leather, etc.) alternative options will be considered.
1. For the gallery bench would the attached spec work? This is what I have used in the past.
Answer: Judicial asks the all who propose gallery bench seating propose their specification as Judicial does not have a standard specification. Then Judicial will determine which proposed seating best meets the needs and the budget of the department.
2. There is no room tagged 156 but then you note office 171. Sure you mean 171 but just want to make sure.
Answer: The reference to room 156 should be removed.
3. Could you please confirm the floor plans that include STATE areas. It appears that the architect sent ALL plans. This included County and Federal Courts areas. I believe that we need to reference ONLY these plans: 09_T101B.R12, 09_T201A.R13, 09_T201B.R25 and 09_T202B.25.
Answer: The areas involved are the State areas, but on some of the drawings they are shown as county areas. Please use the room numbers referenced in the solicitation.
4. Can you identify by room numbers all the areas that you wish to have priced for this bid as you had provided on the Douglas County Bid? The descriptions are addressed in Section 1C or the original Bid
Answer: Please see Section 3. B. of the RFP.
5. The Court Report area: Station and Chair? Could you provide more details?
Answer: The court reporter station will only need a task chair
6. Jury Seating. Do you want full memory return? Would you like all wood or wood with upholster or wood with faux leather or plastic arm with fabric or faux leather option?
Answer: Full memory return is not required. Plastic arm with faux leather has been the preference for recent court rooms. Judicial encourages respondents to propose furnishings within the budget that they feel would best meet the needs of the space. Items proposed are taken into consideration when evaluating responses.
7. Counsel seating. Would you like all wood or wood with upholster or wood with faux leather or plastic arm with fabric or faux leather option? Four leg base, sled base or on casters?
Answer: Caster based, mesh or faux leather, no arms has been the preference in recent court rooms. Judicial encourages respondents to propose furnishings within the budget that they feel would best meet the needs of the space. Items proposed are taken into consideration when evaluating responses.
8. Counseling tables. Do these need power and data?
Answer: Counsel tables with data and power available are preferred.
9. Deliberation tables: do you want laminate? What about the seating? Wood with upholster or wood with faux leather or plastic arm with fabric or faux leather option? Four leg base, sled base or on casters?
Answer: Either a laminate or a wood Jury deliberation conference table is acceptable if the overall proposal fits within the Judicial budget. A task chair with plastic arms, caster, with a faux leather has been the preference in recent court rooms. Judicial encourages respondents to propose furnishings within the budget that they feel would best meet the needs of the space.
Items proposed are taken into consideration when evaluating responses.
10. Small huddle rooms. Do you want a round laminate table and four leg based metal pull up chairs? Fabric or faux leather? With or without arms?
Answer: Laminate, rectangular tables are preferred with castor based task chairs with arms.
11. Task seating is one of the most important items to purchase. How will these chairs be evaluated?
Task chairs will be evaluated based per the evaluation criteria in the RFP.
Special emphasis will be placed on proposed task chairs being adjustable to accommodate different staff in an ergonomically correct fashion.
12. Please provide a description of the “small reception/waiting room.”
Answer: See room 160 in the drawing.
13. Can you help us locate office 156? We are not seeing it on the drawing.
Answer: See response number 2. above.
14. On page 3, Letter C of the bid docs, it states that there are laminate offices? From the drawing, it appears to have 7, can you please clarify?
Answer: There are 7 laminate offices including the self-help center.
15. On page 3, Letter C of the bid docs, it states thirty (14) post base jury/witness chairs. Does this mean 14 jury chairs for each courtroom?
Answer: There is only one court room, the court room shall have 14 post based chairs.
16. Where is the reporter station in the drawing, and what type of desk/ components are needed?
Only a task chair is needed for the court reporter station. All remaining components are built in.
17. The workstations are identified by room #175. On the drawing, it looks like room for the workstations are in S113 and S130 – is this correct?
Answer: The workstations belong in room 175 which is adjacent to the judge’s chambers. S 113 and S130 are not a part of this RFP.
18. Can you identify a total number of workstations needed?
Answer: There will be two systems workstations in room 175. Seven free standing office stations.
19. What type of storage is needed in each station? Below is a rendering for approval.
Answers: Storage options are to be proposed by each respondent based on the space available. The design and amount of storage available will be a part of the evaluation.
20. Systems. To be clear, you do not want a power base feed but do want power and data in the panels? Are you planning to “plug” into an outlet? How many duplexes should be planned?
Answer: Power and data will now be provided for the free standing desks under the desks by plugging into the wall jacks. The systems furnishings also will not need data or power if access to the wall is available under the work surface. If access to the wall is blocked by the panel, then the panel will need to be able to provide the data and power through the panel by plugging into standard 110v power outlets and data sources instead of a pig tail.
21. How many Systems workstations do you need and what sizes along with what storage and tools? A 3D/2D representation or description would be helpful.
The .dwg file has been provided to all prospective offeror’s we ask that the offeror propose solutions for storage and size to fit the space and this is a part of the valuation.
22. Ergonomic items. Who is to get keyboard trays and dual monitor arm holders? Would it be easier to list them as line items to be ordered and placed as needed?
Answer: It is preferred that ergonomic items be listed as individual line items in the solicitation response and that all work stations include a keyboard tray and monitor arms.
23. Room 107A Collection Investigation seems to show a modular panel wall with sliding door in the plans provides; however, no such product is referenced in the written statement of work. Should panels and a sliding door be supplied for this room?
Answer: Room 170A should have a panel between the desk and the walkway. If possible a panel with a sliding door that shuts would be preferred.
