About this file

This is a Questions and Answers document for an Offsite Tape Media Storage and Retrieval Services contract opportunity. The document addresses four specific questions related to technical requirements for the storage facility, particularly focusing on UPS (Uninterruptible Power Supply) systems and fire suppression requirements. The document clarifies that a UPS system is mandatory and must be an electrical apparatus that provides emergency backup power to maintain facility security systems, including cameras and gates.

The current contractor for these services is Iron Mountain, with a budgeted amount of $45,000.00 for the 2015/2016 term. The document clarifies that while liquid sprinkler systems were initially specified as unacceptable for primary suppression, they are now deemed acceptable as the primary fire suppression system. All requirements specified in the IFB are identified as mandatory, including the UPS system requirement.

Offsite Tape Media Storage and Retrieval Services Questions and Answers

1) Who is the current Contractor and what is the current annual spend?

The current Contractor for this service is Iron Mountain, the budgeted amount for the current term (15/16) is $45,000.00.

2) Section 4 of the General Requirements, line item #9 specifies that a UPS must be present at the facility. As most UPS systems are run by natural gas, we do not have them at our facilities since the risk of fire from a gas tank seems to outweigh the potential benefit of the UPS. Will this disqualify us from bidding?

UPS is referring to an electrical apparatus that will provide emergency power in the event of a power failure. This electrical backup will ensure that the facility is secure at all times (cameras, gates, etc.).

3) Section 4 of the General Requirements, line item #10 specifies that a liquid sprinkler system is unacceptable as the primary suppression system. Clean agent fire suppression systems may cause irreparable damage to media, while media with water damage can be restored very effectively. If we have a double-action, pre-interlock fire suppression in our media vault along with halon fire extinguishers, will we be disqualified from bidding?

A liquid sprinkler system is acceptable as the primary suppression system.

4) It is specified in the IFB that it is required to have a UPS to run the environmental controls (HVAC), which can only be done with a natural gas UPS system. If our power goes out, we receive an alert from our alarm company and we then man the facility until the power is restored. We do not have a UPS system for our alarm system. Can we still bid on this IFB without having a UPS system for our alarm system?

The bidder can submit their proposal. All requirements are mandatory. A UPS system is required.
