About this file
This is a Question and Answers document for a Request for Bids (RFB) issued by the University of Wisconsin-Shared Services on behalf of the University of Wisconsin Oshkosh Facilities Management Department for maintenance and service of emergency generators under solicitation number 2026-UWSYS-01313. The scope of work includes annual inspection and preventive maintenance services as well as repair services provided on an as-needed basis. Vendors were required to submit responses online through the SciQuest bidding portal by May 20, 2026, with a 19-day submission window from the posting date of May 1, 2026. A campus walkthrough was not scheduled; however, the solicitation documents provide comprehensive information on each generator unit to enable vendors to determine appropriate supplies and scope requirements. All inquiries regarding this bid must be directed to Susan Poff at Susan.Poff@uwss.wisconsin.edu.
The Q&A document addresses vendor inquiries regarding service requirements, specifically clarifying that annual inspection and maintenance services include oil and filter changes as outlined in Section 6 of the Generator Maintenance Service Contract Terms and Requirements document. Any repair services beyond the standard maintenance scope will be charged at an established hourly rate plus materials costs. The solicitation documentation does not disclose specific award values, budget ranges, set-aside designations, or identified incumbent contractors.

VENDOR QUESTIONS/ANSWERS
1. QUESTION…. The pricing sheet only called for an inspection, is that correct? No oil & filter changes?? Will that continue to be done internally?
ANSWER: Please review at Section 6 – Technical Requirements in the Generator Maintenance Service Contract Terms and Requirements document. This section outlines what is expected to be included as part of the annual inspection and maintenance.
2. QUESTION…. Could you please let me know if a walkthrough of the campus and units can be scheduled, or if there is a scheduled walkthrough that our team may participate in.
ANSWER: At this time, a walkthrough of the campus and units will not be scheduled. The information provided for each generator includes all the details needed to determine the appropriate supplies for inspection and maintenance. Any repair services that may be required will be handled based on the established hourly rate and the materials necessary to complete the work.
