About this file

This document contains questions and answers regarding a federal contract opportunity for conference venue space. The opportunity is for a language conference venue to be held from February 1-3, 2024. The solicitation number is W911YP24R0002 and is being issued by the Department of the Army Utah Army National Guard. Lunch will be provided by the government for some attendees on a drilling status, with others leaving to get their own lunch. Audiovisual equipment will be provided by the government. Budgeting should include room rental fees for breakout rooms. Theater style seating is preferred. Snacks and break items may be provided but details have not been finalized. Lodging and additional meals are not within the scope of this contract, but some participant meals must be accommodable at a rate of $12 per person through either an on-site vendor or bringing in outside food. An evening social event on February 3rd also requires venue space.

QUESTIONS & ANSWERS for 300th Language Conference Venue Requirement (as of 8-21-23)

1) Is the government providing lunch to the attendees on any of the 3 days? There is a mention of lunch on 2/2/23 in the SOW. Is it provided by the government or is this just a break where attendees will leave to get their own lunch? Yes, the government is providing lunch to a select group of attendees (those that are on a drilling status). The remainder of the attendees will break to get their own lunch. If we must use a preferred food vendor, we cannot spend more than $12 per plate.

2) What audio visual equipment is the government providing, if any? Will the Gov be bringing their own laptops, projectors, etc. We will be providing laptops, projectors, webcams. If there is a preferred A/V vendor, we may do a separate contract for the A/V once we figure out what our requirement is.

3) Given this meeting has no rooms associated with it there will be room rental fees. Have you budgeted for this? We have budgeted for the rental of the breakout rooms if that cost fits into the allocated budget. The venue should include space for the breakout rooms and the vendor booth area.

4) Is there a preferred seating style? Classroom, rounds, theater? Theater style seating is preferred.

5) Are you providing any snacks or break items of food and beverages? Most likely there will be snacks/break items but we have not figured that piece out yet.

6) Can you please clarify if you will require lodging rooms and meals for this event? You mention a “social” on the Statement of Work, but there’s nothing else stating that pricing is required for this or any meals. No, we do not require lodging for the event. There will be quite a few people who are coming in from out of state that will be securing lodging near the venue, but it will not be part of the contract. We do require meals for a select few of the participants, but it will be a separate contract that we will tackle next year. We are only allowed to spend $12 per person for a lunch meal. So for this contract, we will need to either be able to bring in our own food for the participants that we have to provide a meal for, or be able to use the venues preferred vendor at a rate of $12 per meal. But again, this will not be a part of this contract as meals are paid for with different funds. For the social, we will just need to be able to use the space for a social event in the evening on 3 Feb. We do not know if there will be meals during the event yet or not, but if we do, those meals will not be a part of the contract either.

They would be completely separate.
