Pre-Solicitation - Q & As - 2024 Vet Festival Tent Rental

1. Is this on a parking lot? A: Yes, concrete surface.

2. Must it be weighted or can it be staked or drilled? A: Either is acceptable.

3. Must it be picked up sat? Or can it be Monday morning?

A: Needs to be picked up before Monday morning to permit patient parking.

4. Sidewalls or no sidewalls?

A: No sidewalls were requested by event organizers.

5. Lighted? A: No.

6. Size restrictions and height restrictions?

A: Parking lot width is 50 feet x 200 feet, no height restrictions.

7. Will the tent be placed on concrete/asphalt or grass (it makes a difference in how the tent is secured). A: Yes, concrete surface.

8. What is the available space “footprint” for the tent – we must make sure that there is enough space for the tent?

A: Parking lot width is 50 feet x 200 feet, no height restrictions.

9. Will it be acceptable to remove the tent on Monday the 10th instead of Saturday the 8th

– it is a long process to remove and with only 4-1/2 hours of light left after 4 pm on June 8th, there may not be enough time to remove the tent before dark?

A: Needs to be picked up before Monday morning to permit patient parking.

10. Do you have the area where this is going to go already assigned so that we can possibly look at it on Google Earth for logistics or we can drive over there today since we are in Dallas?

A: See attachment, “Tent Location”.

11. Is the VA expecting a circus style tent or a more ridged tent?

A: We will have to rely on the vendor’s recommendation as to the style of tent that can accommodate the crowd.

12. Table covers for the tables or no covers?

A: Not requesting table covers. Our concern with it being outdoors that linens may stay on tables if breezy.

13. Can the setup take place on 06/06/24? Apparently there are a lot of events that weekend

(graduation etc.)?

A: TBD.
