About this file
This document is a Questions and Answers (Q&A) file for the City of Lawton's Request for Proposal (RFP) RFPCL25-022 for Printer & Copier Maintenance Services. The solicitation seeks to establish a 12-month price agreement with options to renew for two additional one-year extensions, not exceeding a total term of 3 years. The project involves leasing approximately 45 Energy Star compliant multifunction digital copiers to be installed at various city office locations, with an anticipated award in April 2025 and implementation to begin as soon as possible. The city requires devices to be installed and fully functional within an average of three days, with specific service response time requirements of within one hour for the Print Shop and within two hours for other services during business hours.
The pricing structure includes two format options (Format A and Format B) with pricing phases for 12, 24, and 36 months. The city provided current monthly print volume details of 93,728 black and white and 65,021 color pages from their previous billing. Minimum device specifications include at least one paper tray with a 500-sheet capacity. The cost per copy pricing model should list details separately by device, with both equipment and maintenance costs itemized. The city can only commit to funding on an annual basis and will not extend the submission deadline or consider third-party leasing arrangements. Vendors are required to submit pricing under both Format A and Format B, with an expectation of competitive, transparent pricing that accounts for the city's specific operational needs.
