About this file

This document is a Notice of Intended Decision to Enter into a Single Source Contract (PUR 7778) issued by the Florida Department of Transportation (FDOT). The notice indicates that FDOT intends to award a single source contract to Activu to provide complete maintenance of the Activu video wall system and all associated audio-visual equipment at the Tampa Bay SunGuide Center. The contract will cover preventive maintenance and repairs to the video wall software, hardware, and audio-visual equipment. The intended source for this contract is Activu, and the contract value is $120,580.

The justification for the single source award is that the Activu software is proprietary and cannot be accessed or serviced by any other vendor. Activu is the only vendor capable of providing comprehensive troubleshooting and maintenance of the video wall system, which includes both the software and hardware components. This approach is expected to minimize downtime and ensure the continued operation of the video wall system.

Performance and/or Design Requirements (intended use, function or application, compatibility etc.

requirements; reference to policy, rule, statute or other act of the Legislature, etc., as appropriate):

Preventive maintenance and repairs to video wall software, hardware and audio visual equipment within the

SunGuide building.

Intended source (vendor, contractor): Activu

Price: $120,580.00

Justification for single source acquisition (what is necessary and unique about the product, service or source;

steps taken to confirm unavailability of competition, as appropriate): The Activu software, which operates the FDOT District 7 video wall system, is owned by Activu, who does not resell their software through third parties. For proper troubleshooting, software and hardware need to be evaluated together. Having the software and hardware under two contracts in the past has caused many issues with each party deflecting blame and responsibility, delaying both vendors from being able to quickly remedy situations. With a combined contract, one vendor will be held accountable for all system components and maintenance needs.

The Activu software system is proprietary, and no other vendor is able to administratively access and troubleshoot the software. To do efficient system troubleshooting, it must be a comprehensive approach considering both hardware and software to keep the video wall system operating with the least amount of down time possible.
