About this file

The document is a Description of Intended Single Source Purchase (PUR 7776) issued by the Florida Department of Transportation (FDOT). The intent is to procure complete maintenance services for the Activu video wall system and associated audio-visual equipment at the Tampa Bay SunGuide Center. The requested services include preventative maintenance and repairs for the video wall software, hardware, and audio-visual equipment. The contract term is two years, from May 1, 2024 to April 30, 2026. The estimated dollar amount for the contract is $120,580.

FDOT has determined that the Activu software and system are proprietary and can only be serviced by Activu, the software owner, due to the need for comprehensive troubleshooting and maintenance of both the software and hardware components. No other vendors are able to access and troubleshoot the Activu software. The contract will hold a single vendor accountable for all system components and maintenance needs to minimize downtime.

Performance and/or Design Requirements (intended use, function or application, compatibility etc. requirements; reference to policy, rule, statute or other act of the Legislature, etc., as appropriate): Preventive maintenance and repairs to video wall software, hardware and audio visual equipment within the SunGuide building.

Intended source (vendor, contractor): Activu

Estimated Dollar Amount: $120,580.00

Justification for single source acquisition (what is necessary and unique about the product, service or source; steps taken to confirm unavailability of competition, as appropriate): The Activu software, which operates the FDOT District 7 video wall system, is owned by Activu, who does not resell their software through third parties. For proper troubleshooting, software and hardware need to be evaluated together. Having the software and hardware under two contracts in the past has caused many issues with each party deflecting blame and responsibility, delaying both vendors from being able to quickly remedy situations. With a combined contract, one vendor will be held accountable for all system components and maintenance needs. The Activu software system is proprietary, and no other vendor is able to administratively access and troubleshoot the software. To do efficient system troubleshooting, it must be a comprehensive approach considering both hardware and software to keep the video wall system operating with the least amount of down time possible.
