About this file
This document is a Description of Intended Single Source Purchase (PUR 7776) issued by the Florida Department of Transportation (FDOT) for the maintenance and support of the video wall and video display systems at the Tampa Bay SunGuide Center. The requested services include preventive maintenance and repairs to the video wall software, hardware, and audio-visual equipment. The intended sole source provider is Activu, as their proprietary software is required to administer and troubleshoot the system, and having a single vendor responsible for both software and hardware is necessary for efficient maintenance. The contract term is for two years, from May 1, 2024, to April 30, 2026, with an estimated value of $120,580.
The justification for the single-source acquisition is that the Activu software is proprietary and cannot be accessed or serviced by other vendors. Having separate contracts for software and hardware in the past has caused issues with responsibility and delays in resolving problems. The comprehensive approach of a single vendor for both software and hardware is necessary to minimize system downtime. This opportunity is open to prospective vendors who may be able to provide the required services, and the agency will review any information received before making a final decision on the single-source award.

Intended source (vendor, contractor): Activu
Estimated Dollar Amount: $120,580.00
Justification for single source acquisition (what is necessary and unique about the product, service or source; steps taken to confirm unavailability of competition, as appropriate): The Activu software, which operates the FDOT District 7 video wall system, is owned by Activu, who does not resell their software through third parties. For proper troubleshooting, software and hardware need to be evaluated together. Having the software and hardware under two contracts in the past has caused many issues with each party deflecting blame and responsibility, delaying both vendors from being able to quickly remedy situations. With a combined contract, one vendor will be held accountable for all system components and maintenance needs. The Activu software system is proprietary, and no other vendor is able to administratively access and troubleshoot the software. To do efficient system troubleshooting, it must be a comprehensive approach considering both hardware and software to keep the video wall system operating with the least amount of down time possible.
