About this file
This is a Public Records disclosure document issued by the City of New Smyrna Beach, Florida in connection with a Golf Course Consultant solicitation. The document establishes the city's public records policies and contractor obligations regarding all materials submitted in response to the solicitation. All submissions become property of the City and are subject to public inspection ten days after the public opening, with executed contracts available for review by any person thereafter. The City retains the right to use any information or materials submitted, regardless of whether a consultant is ultimately selected or disqualified.
The contractor is required to comply with Florida Statutes Chapter 119 regarding public records management. Key obligations include maintaining all public records necessary to perform the contracted services, providing copies or access to requested records within a reasonable timeframe at statutory cost rates, and protecting exempt or confidential records from unauthorized disclosure for the contract duration and beyond. Upon contract completion, the contractor must transfer all public records to the City at no cost or maintain them in compliance with applicable retention requirements. All electronically stored records must be provided in formats compatible with the City's information technology systems. Questions regarding public records compliance should be directed to the City Clerk at 386/410-2630 or clerk@cityofnsb.com.
