About this file

This is a Proposer RFP Checklist document for the City of Santa Monica, California, soliciting proposals for preplan and fire inspection SaaS software. The City is seeking qualified persons or firms to provide this fire-related records management software solution for a five-year term, exercisable at the City's sole discretion. Proposers must carefully review the entire RFP document, attend any pre-proposal conference if offered, and submit questions by the designated deadline. All addenda and question-and-answer responses are posted on the City's online vendor portal, ProcureNow, and proposers must acknowledge receipt of each addendum issued. Responses must follow the specified RFP format with point-by-point responses to all sections and must be submitted by the deadline noted on the RFP front page; late proposals will not be accepted.

The checklist emphasizes that proposals are evaluated exclusively on the information and materials provided in the response and that proposers must verify no addenda were issued before submission. Proposers should review the RFP document multiple times to ensure all requirements are addressed, including any mandatory requirements, contract requirements such as insurance and performance reporting, and supplies or services specifications. The document does not specify pricing terms, set-asides, incumbent information, funding sources, or award dates within the checklist itself, as this is a procedural guidance document rather than a detailed solicitation document.

Take advantage of the “question and answer” period. Submit your questions by the due date. View all answers given in the formal addenda issued for the RFP. All addenda issued for an RFP are posted on the City’s online vendor portal: ProcureNow and will include all questions asked and answered concerning the RFP.

Follow the format required in the RFP when preparing your response. Provide point-by-point response to all sections in a clear and concise manner. The proposals are evaluated based solely on the information and materials provided in your response.

Check the City’s online vendor portal: ProcureNow for RFP addenda. Before submitting your response, check whether any addenda were issued for the RFP. If so, you must submit a signed acknowledgment for each addendum issued along with your response

Review and read the RFP document again to make sure that you have addressed all requirements.

Submit your response on time. Note all the dates and times listed on the front page of the RFP document, and be sure to submit all required items on time. Late proposals are never accepted.
