About this file

This is a Request for Quote (RFQ) issued by the Children's Trust, a Massachusetts state agency, for videography services to document the organization's Spring Convening event. The Children's Trust seeks a videographer to conduct on-site interviews at the Four Points Sheraton in Norwood, Massachusetts on May 28, 2026, during a filming window from 12:00 PM to 3:00 PM. The project requires a single-camera setup for informal participant interviews, basic lighting and audio equipment suitable for an indoor conference setting, b-roll capture, and coordination with event staff to manage participant flow. The RFQ was posted on May 21, 2026, with responses due by May 26, 2026, allowing only five days for submission. The project start date is May 28, 2026, with an anticipated completion date of June 30, 2026, though all dates are subject to change. No site visit or bidder's conference is mentioned in the solicitation.

The scope of work includes post-production deliverables consisting of three edited videos—a horizontal highlight video under two minutes, a horizontal compilation video featuring all participant responses with minimal editing, and a vertical social media video under 60 seconds—plus delivery of all raw footage. Editing requirements include basic color correction, audio leveling, light branding with logo and end card, and burned-in or SRT file captions for accessibility, with music to be licensed by the vendor. Vendors must provide an all-in quote covering filming, equipment, editing, and revisions, with draft videos due within two to three weeks of filming and final delivery within one week of consolidated feedback. This is a single-award, fee-for-service procurement distributed through the COMMBUYS system, with preference given to Massachusetts Small Business Purchasing Program (SBPP) participants meeting best value criteria. Respondents must register on COMMBUYS and submit responses electronically through that platform; all questions must also be submitted through COMMBUYS.
