About this file
This is a Pre-Processing and Delivery Instructions document for the Illinois Department of Corrections (IDOC) Library Reading Materials procurement (Bid 26-426DOC-GRANT-B-50077). The IDOC is purchasing reading materials to support multiple correctional facilities' library collections based on each facility's specific patron needs. The document establishes standardized pre-processing requirements that all bidders must follow prior to shipment, including spine labeling conventions (fiction books labeled "FIC Author Last Name, Author First Name" and non-fiction books labeled with Dewey Decimal number and cutter), placement of book pockets with corresponding labels on the first blank page, and protective wrapping of new and unused books to preserve cover condition.
Delivery instructions are itemized by facility within bid 26-426DOC-GRANT-B-50077, with specific delivery addresses provided in the IFB Contract pages 4 through 7. The pre-processing standards ensure consistency across all materials delivered to IDOC facilities and require that spine labels be positioned on the lower portion of the spine to avoid obstructing title and author information, and that book pockets be centered on pages with centered labels. These specifications establish uniform handling and cataloging procedures across the Department of Corrections' multiple library locations.

Text version
Pre-Processing & Delivery Instructions Pre-Processing Pre-processing as defined in the IFB contract on page 2 states that items “should be labeled and have book pockets in place prior to shipping.”
The spine labels: for fiction it should be FIC Author Last Name, Author First Name; and for non-fiction it should be the dewey # and cutter. Cutter is the first letters of the author’s last name.
The label should be on the lower part of the spine to not obstruct the title and author listed on the spine.
Book pockets would have the same labels as the spine but larger.
The pocket would be on the first page without writing. It would be in the center of the page and the label would be centered on the pocket.
Book wrapping on the new and unused books to protect the book covers (paperbacks can be wrapped with a non-removable cover).
Delivery Instructions Each item description on bid 26-426DOC-GRANT-B-50077 states which facility should receive which book.
Delivery address that ties to item’s description is listed in the Invitation for Bid “IFB Contract” on starting on page 4 to page 7.
