About this file
This is an Office Automation Form B used by the City of Philadelphia for equipment procurement requests submitted through PHLContracts. The document outlines the City's requirements for Lenovo ThinkPads and related office automation equipment, including installation, configuration, warranty coverage, and maintenance specifications. The vendor must provide on-site delivery and installation at the desktop level, with all packaging debris removed. Products must be delivered either pre-configured or configured at the City's location. The City requires extended warranty coverage with minimum periods of five years for servers and IT appliances, four years for PCs and laptops, three years for tablets, and original equipment manufacturer warranty for peripherals such as printers, copiers, and multifunction devices. These warranty periods commence after a 30 to 120-day acceptance period. Instruction and training by the vendor are requested as part of the procurement.
Maintenance requirements specify next-day on-site response within 24 hours, including all parts and labor, with payment due after equipment delivery and acceptance. The vendor may select either a three-year or five-year maintenance option. The City will accept refurbished equipment if offered by the vendor. All deliveries must be inside deliveries to a loading dock, and vendors must provide literature on products offered at the City's request. Payment for the selected maintenance option shall be made only after the City has delivered and accepted the equipment.
