About this file

This is an Office Automation Form for a City of Philadelphia contract opportunity related to IT equipment procurement and configuration services. The form outlines installation, configuration, warranty, maintenance, and training requirements for office automation equipment. The City requires vendors to provide inside delivery to loading docks with included installation and configuration services unless otherwise directed. Equipment must be delivered pre-configured or configured at the City's location, with vendors required to specify the platform if configuration is performed on-site. The procurement includes options for on-site maintenance with next-day response service (within 24 hours) including all parts and labor, available under either a 3-year or 5-year service level agreement.

Warranty coverage requirements are specified by equipment category: servers and IT appliances require a minimum five-year warranty, PCs and laptops require four years, tablets require three years, and peripherals including printers, copiers, and multifunction devices require the original equipment manufacturer's warranty period. All warranty coverage begins after a 30 to 120-day acceptance period. The form indicates that instruction and training by the vendor is requested, and the City will consider refurbished equipment. Maintenance payment shall be made following equipment delivery and City acceptance. Vendors must submit product literature at the City's request and review all requirements before submitting quotes through PHLContracts. The contract is governed by the terms and conditions of the DPA (Data Processing Agreement).
