About this file
This Office Automation Form outlines equipment installation, configuration, and maintenance requirements for the City of Philadelphia's IDEA Server Replacement project in Pennsylvania. The vendor is responsible for delivering and installing all equipment at the desktop, removing packaging debris, and configuring products at the City's location. The procurement includes servers, IT appliances, PCs, laptops, tablets, and peripherals such as printers, copiers, and multifunction devices. Instruction and training by the vendor are requested as part of the deliverable requirements. All deliveries must be inside deliveries to a loading dock, with vendors providing costs for installation and configuration unless otherwise directed.
Warranty coverage requirements establish a five-year minimum warranty period for servers and IT appliances, four-year coverage for PCs and laptops, three-year coverage for tablets, and original equipment manufacturer warranty periods for all peripherals, effective after a 30- to 120-day acceptance period. On-site maintenance is required with next-day response times within 24 hours, including all parts and labor, with payment due after equipment delivery and City acceptance. Maintenance options include three-year and five-year terms. The City will accept refurbished equipment. Vendors must submit product literature at the City's request and complete all requirements before submitting quotes through PHLContracts.
