About this file
This is an Office Automation Form A from the City of Philadelphia, outlining installation and configuration requirements for office equipment procurement through PHLContracts. The contract opportunity involves the provision of an HP Color LaserJet Pro 4201dn Printer and related office automation equipment. The vendor is responsible for inside delivery to a designated loading dock and must provide installation and configuration services at no additional cost unless otherwise directed. Product literature must be submitted upon the City's request. All deliveries must be completed with full installation rather than drop shipment arrangements.
The warranty and maintenance structure requires extended coverage with a minimum five-year warranty period for servers and IT appliances, four-year coverage for PCs and laptops, three-year coverage for tablets, and original equipment manufacturer warranty for peripherals including printers, copiers, and multifunction devices. On-site maintenance is required with next-day response capability within 24 hours, including all parts and labor. Vendors must specify whether they accept refurbished equipment and whether instruction and training services are requested. Payment for the chosen maintenance option will be made after equipment delivery and acceptance by the City. The contract offers maintenance term options of either three or five years. Refurbished equipment is acceptable if specified by the vendor.
