Statement of Work Pentair Aquatic Eco-Systems (PAES)
1) SCOPE: This Maintenance Agreement requires PAES to perform routine preventative maintenance
(PM) of the NIH/NEI/CAF aquatic holding systems located in Building 49 (Multi-Rack and Flow through System) and Building 6 (Stand Alone System). This will include two visits per year, where Pentair Aquatic Eco-Systems will provide parts and labor. As a part of the Scope of each PM Visit, the Service Technician shall perform all inspections, tests, services and maintenance activities as recommended by the Manufacturer or necessary in order to maintain the system in proper working condition and according to Service Technician’s professional judgment (parts included, see item #2).
This agreement provides a discounted rate for emergency calls or equipment failure. Emergency service calls will be invoiced at a reduced rate for travel and labor.
2) BACKGROUND INFORMATION: Pentair Aquatic Eco-Systems built the zebrafish aquatic holding systems is located in room 3C23 and 3C23A of the Building 49 Central Animal Facility (CAF) and room 213E in Building 6. The zebrafish aquatics holding systems are the systems used to house our aquatic animals and ensure their safety and well-being. The PAES systems meet the unique and complex challenges of the research performed in the CAF that uses zebrafish as the animal model. This system is an essential part of our aquatics facility and it plays a vital role in sustaining our aquatic animals.
3) PURPOSE AND OBJECTIVES OF THE ACQUISITION: The purpose of this acquisition is to properly maintain the already installed zebrafish aquatics holding system within the Bldg. 49 CAF program. We request that PAES continue to provide the preventative maintenance service to this equipment. PAES installed this equipment and are the most qualified to provide the preventive maintenance on the system.
4) PREVENTIVE MAINTENANCE: PAES will work with NIH/NEI/CAF to establish a mutually acceptable schedule for each PM visit. PM visits will be scheduled at least 30 business days in advance of the requested service date.
i) PM visits described above will include: Test water quality and adjust as necessary; inspect and service system pump(s) and filters (to include Biofilter(s), Mechanical Filter(s), Prefilter(s) and UV Disinfection Units) ‐ as required at given service interval; inspect and service monitoring and control systems (if provided by PAES) ‐ as required; inspect and service all other system components and sub‐systems (if provided by PAES); as required.
Refer to the system maintenance schedule for recommended service intervals for specific system components.
ii) Service Technician shall be proactive to deliver quality service, making recommendations where improvements to service and quality can be achieved, including advising possible changes to our procedures and facilities that might reasonably be expected to improve the overall condition, quality and performance of the systems being serviced.
iii) PAES has prepared Quotation QTE9686 for parts that will be required to perform typical preventative maintenance. PAES has also included in this quote certain consumable supplies that it would propose to provide at the time of service and in performance of the service. See attached quote, Quotation QTE68190, for current itemized pricing for recommended supplies and replacement parts.
5) CONTRACTOR REQUIREMENTS: The contractor shall perform all inspections, test, service and maintenance activities which include: testing and adjustment of water quality parameters;
inspection and service of system pumps and filters (bio-filter, mechanical filter, and chemical filters), maintenance of UV disinfection units; inspection and service of PAES’s electronics/electrical systems; and inspection/service of all other system components and sub-systems as required.
6) SERVICE EXCLUSIONS: The contractor shall not be responsible for any repairs necessitated by abuse, neglect, vandalism, Acts of God, fire or water. A system maintenance schedule was provided at the time of installation and is recommended between service calls. PAES is not responsible for damage caused by NIH/NEI/CAF not following routine maintenance schedule.
7) CONTRACTOR SUPPLIED MATERIALS: PAES preventive maintenance agreement will include 1 semi-annual and 1 annual preventive maintenance service for the term of this agreement.
The PAES agreement outlines, in section 2, in detail the supplies and services that will be rendered under its service agreement.
8) GOVERNMENT FURNISHED MATERIALS: The government shall furnish the materials necessary to perform the preventative maintenance; a quote will be requested prior to the service visit. Where additional materials or services are provided by PAES which are not included in the Agreement or are under Warranty, they will be charged for separately at current price. Where additional labor is provided it will be charged for at PAES current labor rate (except as in emergency calls). These repairs shall be the subject of a separate purchase order and shall not be performed under this agreement without the consent of Building 49 CAF’s management.
9) EMERGENCY SERVICE: Emergency service calls may be required between regular visits and will be provided at the PAES contract rates for parts, labor, travel time and related expenses.
Emergency service is also available weekend and evening hours if needed. Emergency service rates are provided in the PAES contract agreement at a reduced rate.
