About this file
This document is a clarification memo regarding the Newport WWTP Biosolids Conveyor Replacement Project being conducted by the City of Newport, Oregon. The project includes replacement of the existing biosolids belt conveyor with a shaftless screw configuration, modifications to the existing supports and SCADA/electrical systems, and demolition of the existing belt conveyor system. The memo addresses post-bid questions, including the required incorporation of costs from a vendor (Austin-Mac, Inc.) and the current status of submittals and equipment fabrication.
The memo confirms that the approved equipment from Austin-Mac, Inc. is currently being fabricated, and that the previously quoted price of $98,332 remains valid despite recent increases in raw material costs. The project is being executed within the jurisdictions of Lincoln County and Newberg City in the state of Oregon.

CLARIFICATION MEMO
FOR THE CITY OF NEWPORT WWTP BIOSOLIDS CONVEYOR REPLACEMENT PROJECT
DATE: September 7, 2021
FROM: Clare C. Paul, PE, Assistant City Engineer
This is to provide clarification for post-bid questions:
1. Do you want us to include the cost of $98,332 in our bid to the City?
• The bid needs to incorporate Austin Mac costs presented in the supplementary information.
2. Has the city worked through and approved submittals with Austin-Mac, Inc.? If so, where are the conveyors in the procurement process, are they currently in fabrication?
• Austin Mac shop drawings have been approved and the equipment is currently being fabricated.
3. On Austin-Mac, Inc.’s quote they state that quoted prices are based on current raw material costs and are subject to change at the time of order placement or engineering approval.
Between the time the PO was written and now, the cost of raw materials has increased significantly. Have you confirmed with Austin-Mac that they’re going to hold the price of $98,332?
• Austin Mac has clarified that the costs for the approved equipment are the same.
