Preventative maintenance requires two scheduled visits per year, each including verification of magnetic field homogeneity, testing and calibration of gradient coils and RF chains, mechanical inspection of bridge and motor drives, validation of the electromagnetic interference cancellation system, and replacement of high-wear items per OEM specifications. For corrective maintenance, the Contractor must provide phone/remote support within 4 business hours and on-site repair services within 48-72 hours of a service call, using only new OEM-certified parts compatible with the Swoop MRI architecture, including coverage for the 8-channel head coil and any specialized NIST-purchased coils. Contractor personnel must comply with NIST safety regulations, obtain security identification badges, and pass NIST access requirements. Deliverables include detailed service reports with before-and-after calibration values and software release notes documenting new features or security patches, both due within 30 days of work completion. The Contractor will be paid annually upon receipt of a proper invoice, with completed work subject to physical inspection for acceptance.

STATEMENT OF WORK
HYPERFINE SWOOP MRI SOFTWARE SUPPORT & PREVENTATIVE MAINTENANCE
NB686080-26-00568
I. BACKGROUND INFORMATION
NIST currently utilizes the Hyperfine Swoop MRI system for Physical Measurements Laboratory, Magnetic Imaging Group. The system is used for imaging of reference objects (phantoms) and people to understand system variability and conduct research on human subjects.
II. PURPOSE
The Contractor (Hyperfine Operations, Inc.) shall provide all labor, materials, and proprietary software licenses necessary to maintain the NIST-owned Hyperfine Swoop Portable MRI system in accordance with OEM specifications. This includes preventive maintenance, corrective maintenance (repairs), and continuous software/firmware support.
This procurement is for a base contract with 4 option years. The deliverables and service plan items remain the same for each contract period.
PLACE OF PERFORMANCE
The maintenance and support will be performed in the NIST facilities on the DOC Boulder Laboratories site.
Building 81, 325 Broadway, Boulder, CO 80305.
Regular Business Hours Regular business hours are Monday through Friday, 8:00 am to 5:00 pm Mountain Time, excluding Federal holidays and NIST closures.
PERIOD OF PERFORMANCE
Base Period of Performance is March 01, 2026 – February 28, 2027.
Option 1 period: 1 year of service (March 01, 2027 – February 29, 2028) Option 2 period: 1 year of service (March 01, 2028 – February 28, 2029) Option 3 period: 1 year of service (March 01, 2029 – February 28, 2030) Option 4 period: 1 year of service (March 01, 2030 – February 28, 2031)
III. TECHNICAL REQUIREMENTS
Software & Firmware Support
• Licensing: Provide annual access to the Hyperfine cloud-based image reconstruction platform.
• Software: Operate system and obtain images in DICOM format.
• Updates: Deploy all software updates as available.
• Security: Ensure all software patches comply with NIST IT security requirements for networked laboratory equipment.
Preventative Maintenance
The Contractor shall perform two (2) scheduled PM visits per year. Each visit must include, at a minimum:
• Verification of the static magnetic field homogeneity.
• Testing and calibration of the Gradient Coils and RF chains.
• Mechanical inspection of the bridge, motor drives, and caster locking systems.
• Validation of the internal "Self-Shielding" electromagnetic interference (EMI) cancellation system.
• Replacement of high-wear items as defined by the OEM service manual.
• Bridge and Motor check.

Corrective Maintenance (Repairs)
• Response Time: The Contractor shall provide phone/remote support within 4 business hours and on-site repair services within 48–72 hours of a service call.
• Parts: All replacement parts must be new, OEM-certified, and compatible with the Swoop MRI architecture.
• Coil Support: Maintenance and repair/replacement coverage for the 8-channel Head Coil and any specialized NIST-purchased coils.
IV. GENERAL REQUIREMENTS
REQUIREMENTS FOR CONTRACTOR PERSONNEL
Safety: The Contractor employee must be responsible for knowing and complying with all installation and maintenance safety prevention regulations. Such regulations include, but are not limited to, general safety, fire prevention, and waste disposal.
Security: NIST is a restricted campus. An identification badge is required for access to entry into buildings and is shown to the armed Security Police when entering the campus.
Identification Badges: Contractor employees must comply with NIST identification and access requirements. Each Contractor employee must wear a visible identification badge provided by the NIST Security Office.
V. SCHEDULE OF DELIVERABLES

The Contractor will be paid annually for the base period and any option years awarded, in accordance with the payments clause in the contract and as otherwise noted in this document, upon receipt of a proper invoice.
