Questions & Answers for RFP NAMA-08-Q-0051 polyester Film SLEEVES – MAP SIZES

Question 1.

When the tables refer to a "Map size" what does this mean? Is the size listed the size of a map that will be placed in the sleeve or is the size listed the interior dimension of the sleeve?

Answer.

The size refers to the overall sleeve size. The maps or oversize documents that are inserted in the sleeve are slightly smaller than the sleeve.

Change to Solicitation: None

Question 2.

Our equipment puts a .25" hermetic heat seal on the material. Thus if a bag were specified to be 18" by 35" with a seal on the long side and bottom the interior dimension would actually be 17.75" by 34.75". Is this acceptable?

Answer.

Yes, it is. This is the size the Special Media Archives Services Division (NWCS) and the Preservation Programs (NWT) have been ordering for a while and it has been acceptable. They are all aware of the .25" seal and know to take that into account.

Change to Solicitation: None

Question 3.

Can you provide the actual quantities purchased over the last few years for each CLIN?

Answer.

This question is basically irrelevant to the needs specified in our contract requirements. The estimates are based on an assessment of existing preservation needs and expected new accessions.

Change to Solicitation: None

Question 4.

Is the seal on the sleeve going on the very edge of the bag or how much space is permitted from the edge of the bag to the seal (1/8”, ¼”)?

Answer.

The seal should go to the very edge as is defined by "edge welding" (heat). There is nearly no perceptible space between the edge of the sleeve and the seal.

Change to Solicitation: None

Question 5.

What is the actual thickness of the required seal itself? As some equipment produces a wider seal than others.

Answer.

The seal should be accomplished through edge welding and in as much as it should be free of planar distortion (i.e., must rest flat on a flat surface). Nearly no perceptible thickness is the standard.

Change to Solicitation: None

Question 6.

The map sizes indicated, how much room or space should the sleeve allow around the outside of the map when it is placed inside the sleeve?

Answer.

The sizes indicated are the actual exterior dimensions of the sleeves.

Change to Solicitation: None

Question 7.

Is it acceptable to have a small edge of poly on the outside of the seal?

Answer.

No, it is not. The seal should be complete, clear, and continuous.

Change to Solicitation: None
