General
Question: Is there any contractor currently performing this service? If yes, would you kindly provide us with the Contract number? If no, would you kindly provide us with the latest Contract number that has performed this service or similar?
Answer: Yes, Contract N4019222P4107.
Question: Number of Shows: How many shows or events are expected to take place during the performance period (February 2026 to February 2027)?
Answer: In a contractual year, 300 units (services) are expected to be conducted (104 Sunday services (Catholic and Protestant) plus rehearsals and/or special services). Every year, service dates (i.e., Easter, Christmas) often fall on different days so the contractor is expected to be flexible with their schedules.
The Chapel leadership will assist the contractor with developing an annual schedule to ensure they do not exceed the 300 units. Furthermore, service requirements may be more or less throughout a particular quarter of the year. Overall, the contractor should expect and prepare to lead no more than 300 units (services/rehearsals).
Question: Are there any specific expectations or requirements regarding the shows or performances (e.g., themes, audience size, or production scale) that we should consider when preparing our proposal?
Answer: Yes, per the PWS the contractor is expected to work with and receive the approval of the Chaplain or Divine Service officiant for the worship service music selection theme. Our Chapel services range from 50-105 participants each Sunday. The contractor should understand that these are relatively small worship services and not large-scale productions.
Question: Would like to request clarification on the definition of a "unit" as outlined in the Performance Work Statement (PWS), specifically in relation to the expected workload of 300 units per contractual year. How many hours per week or year are expected to fulfill the 300 units?
Answer: NBG Chapel defines a “unit” as a worship service, rehearsal, or preparations for the worship service (i.e., music selection research). Generally, each worship service is an hour and a rehearsal is an hour. Preparation for the worship service may also be roughly an hour. However, we call each “hour” a “unit” or session because the contractor should expect to be flexible if a particular worship service or rehearsal extends or is reduced 15 minutes past/before an hour. To be sure, the contractor should consider each session of work a “unit” and bill accordingly.
Question: Optional Years: The solicitation mentions optional years following the base year. Are we required to submit pricing for all optional years or only for the base year we intend to perform?
Answer: Yes, Submission will be evaluated on total pricing for base and all option periods
