SUMMARY OF CHANGES
SECTION SF 1449 - CONTINUATION SHEET
The following have been added by full text:
QUESTIONS AND ANSWERS
Q. Are individual note takers required or will the government be providing the recordings for the summary to be written after the symposium is completed.
A. Perhaps one or two note takers for the plenary key note speakers only. Still making that determination. We are recording the event and that will be available after the symposium is completed.
Q. How many people will be attending?
A. 1. 400 invited, at least 300 expected Q. How many concurrent breakouts are required?
A. N/A- The venue is providing AV/IT support and the symposium will be recorded.
Q. For the catering requirement, how many meals will be required per day?
A. N/A – The venue costs includes light refreshments Q. Is the Navy handling all A/V needs? Or is this needed from the contractor?
A. The venue is providing the AV/IT support.
Q. How many breakout sessions will occur per day? Will you require a writer/editor in each room? Will the breakout sessions be concurrent or one after the other? Will one writer/editor be sufficient, or will multiple be required? If so, how many?
A. We will not require a writer of editor for any of the breakout sessions; our organization has assigned others to do that function. We may need the contractor to assist with some note taking at the group sessions (entire group in the auditorium) , specifically, notes regarding the Key Note speakers daily but at this time, we are unsure.
Q. Regarding notes, will they be summary notes or verbatim?
A. N/A (see the answer above) Q. What is the event timeline/agenda? Any additional information would be much appreciated!
A. The event begins on Monday, 13 May and lasts through Thursday afternoon, 16-May. Each day will run from 8:30 am - 5:00 pm.
Q. Will travel costs be covered for our team?
A. This is Firm Fixed Price contract. You should include all your expenses in your unit price and may provide details separately.
Q. Registration: will tables and chairs be provided or will we be sourcing? Table linens? Any other specifics?
A. Table linens and chairs are provided. We will need contractor to management onsite logistics, including registration, room set up, catering, social event, transportation.
Q. How many attendees will be present? How will they be broken up/what is the run of show?
A. We invited 400 and we expect 300 (we are at 260 presently) will get the final count Thursday, May 9. There are three breakout sessions and one small group session. We may need note taking at the plenary (large group session).
Q. How many badges etc., what size badge is preferred? Standard 4 and ¼ x 3 and ¼? Please advise!
A. There will need to be a badge for every person attending. Standard size that would go on a lanyard. We will need company to create signs for the symposium (some name plates, signs for registration, table signs, etc.)
Q. Are you providing the folders/materials for packets or are we? What are the specifics in terms of binding, presentation, etc for both the welcome packet and agenda packet? Will printing be color or black and white? Single or double sided?
A. No, we are not providing folders, just the information for the packet in electronic form. There will be some printing required by the contractor. No need for binding, information can be printed and go in folders. Most printing will be black and white, single side or double sided (least cost) and the logo will need to be printed in color.
Q. Will you provide logo + info for packets/badges/etc.? How/when will we receive?
N4248524Q0007
A. Immediately upon award of the contract we will send the logo and information for badges and packets, printing, etc.
Q. What type of signage, quantity, material, sizes etc. are being requested? Will you be providing content, graphic design, logos, etc.? How will the signage be displayed?
A. Signs are displayed on table tops, some will require stands. Size will vary, however there will not be a need for any banner size or any signs larger that an 2 x 3 ft Poster Board.
Q. Are there any specifics on the requested parking passes, and what quantity? Color, material/paper, who will be responsible for distributing these and how?
A. Unsure about the quantity of parking passes needed; the passes can be on 8x10 letter size to be displayed in car dashboard area. We would ask the contractor to distribute the parking passess as a part of logistics support.
Q. When would we expect to receive all necessary information and guidelines to begin the printing process?
A. Immediately upon award of the contrac.
Q. Catering? Has this already been booked? What type of service will it be/how many meals/snacks, etc. per day?
Beverage stations? Dietary restrictions/preferences? Any specifics would be appreciated!
A. Yes, catering has been booked with the venue.
