The following have been modified:
ANSWER TO VENDOR QUESTIONS
Question:
1. There is no mention of conference management or F&B requirements, so can we assume the Navy will be organizing/managing the event and this RFP is just for someone to deliver/setup/remove 5 venue tents with the necessary lighting, staging, poster boards, tables, and chairs indicated?
These items are mentioned but I didn’t see a breakdown of what the needs are:
2. Communications - perhaps sound system(s) for the presenters and techs to run them?
3. Generator Power – again no mention of what needs to be powered unless you are referring to the lighting and sound system?
4. While it may be covered in the Jargon, is there a need for security clearances or other requirements for the various sub-contractors & personnel while they are on base?
Answer:
5. Correct. Navy will conduct all event management as described. Vendor to provide all rental equipment, set‐up, teardown as described in the SOW.
6. PA requirements are to support presentations, No tech support is expected. Each tent is assigned an
Ambassador to assist with presentation needs including sound support.
7. Lighting, plug strips, sound system (if not battery powered), ceiling fans, exit signs,
8. Event set up will be at the Naval Undersea Museum. Access to the site does not require security clearance.
Question:
1. Please provide the specs for the PAs in each of the presentation tents. It appears there are tables on the stage for
4 panelists & discussions, but will you want a podium too?
What about handheld wireless for audience questions?
Will there be lecturers who need lapel mics?
Will the setup in each tent will be identical?
2. Is there any land power available? If not, we can quote with generators and/or batteries but this will mean we will need to have someone on site for the duration to refuel or recharge.
Are there commercial hotels nearby?
Answer:
1. Podiums are not necessary.
Yes, wireless hand held audience mics would be preferable for tents 1, 2, and 3.
Yes, Topic Session Chairperson will have lapel mics.
Similar but not identical, refer to diagrams.
2. Land power will not be available. Generator power is required to run all five tents.
Nearest commercial hotel is in Silverdale, Wa. Approx 5 miles away.
Question:
1. Could we install the PA, Video screens and uplighting on September 9th?
2. We may need to drive in 8’ grounding rods for the generator depending on final setup.
3. Will there be a “bone yard” available where we can park trucks and or leave equipment boxes somewhere on the base?
4. We recommend large screen TV’s (75”) would be better than projectors which tend to wash out... which will happen in white tents on a bright sunny day. Would (2) 75” large screen TVs per presentation tent satisfy your needs?
5. You have requested 1 upplight per tent... what is being unlit?
6. Yes, that would be sufficient.
7. Portable generator system should support bounded/grounded so as not to require 8’ grounding rods.
8. No. Designated event parking is limited. Bone yard area is not available.
9. Yes, 2 large screen TV monitors per tent would satisfy need.
10. Uplighting is for accent lighting on wall behind stages.
Question:
1. In the requirements, it lists “white walled tents with non‐flapping sidewalls.” (page 3 #2.1.1, page 4 #2.2.1 and
2.3.1) Is this intended to mean vinyl soft sidewalls that are secured at the base from flapping, or does this indicate a hard structure wall being necessary? The hard structure wall is possible, just more expensive.
2. Outside of the lighting and AV that is listed in the requirements (page 3 and 4), is there any additional power required? E.g. client laptops, lighting, equipment that must be included in the overall power specifications?
3. The requirements list Decor lighting (page 3 #2.1.4) in addition to the high bay lighting. Is this for stage presenters, general ambient around the tent, or is there a specific decor piece being developed for this area?
4. Can ceiling fans be pole mounted fans with cages, or do these need to be peak mounted? (page 4 #2.1.12 and
#2.2.11 and #2.3.14)
5. Is there a requirement for ramps or ADA access to the stages? (page 6 diagrams)
6. Do the stage tables require skirting? (page 6 diagrams)
7. Is the requirement for only one microphone per stage? We see four chairs, should this be four microphones on table stands? (page 3, #2.1.6).
8. We do see a requirement for a 120” projector screen but no requirement for projector, video source, switcher or technician. Is this being provided by the government? If not, please list specifications and what content will be necessary (video, powerpoint, IMAG, audio from presentations, etc). (Page 3, #2.1.7)
9. Have you given thought to a LED screen for these areas? Typically projection outdoors does not meet our minimum standard for viewing during the daylight hours. (Page 3, #2.1.7)
10. Will the government provide trash removal from the receptacle? Do we need to include staffing for trash removal? Is there a large dumpster onsite, or is a roll‐off dumpster required? (Page 4, #2.1.10, #2.2.6, #2.3.7)
11. Can barrier fencing be bike rack, or is 8’ fence necessary? Does this need to be anti‐scale fence? (Page 4, #2.3.15) Bike rack (style) interlocking fencing is preferred.
12. Can you detail the first aid station needs. Does this need to be an enclosed tent? Does it need pipe and drape for privacy areas? What sizing? Any need for AC or HVAC in this tent? Power needs? (Page 3, Section 1 Scope, Paragraph 4)
13. Please elaborate on the “space needle style” ceiling view. Is this simply a clear ceiling for a view? (Page 4, #2.3.1)
14. Is flooring required for any tent? (page 6 diagrams)
15. Do you have a High Wind Action Plan, or will the client agree to a mutually defined Hight Wind Action Plan for safety in the outdoor environment?
16. The diagrams do not show egress around the outside of the chairs per Fire Marshall compliance. Can the tents be larger to accommodate the required egress?
17. In the diagrams, where do you envision your projectors to be placed? We want to ensure a viable location without losing seating. (page 6 diagrams)
18. Will we have parking for setup staff, semi and box truck deliveries, forklift parking, as well as an area for generator placement that has access to ground rod staking? (page 5 map)
19. Will you allow tent stakes to be placed in the asphalt, or will the ballast need to be concrete or water ballast?
(page 5 map)
20. Will we have access to a boneyard for placement of spare equipment during the run of show? (page 5 map)
21. Will we have access to a covered HQ or office for the duration of the event? If not, is there an area for us to set an additional staff tent or staff office trailer? (page 5 map)
22. The average September temperature in Seattle is a high of 67° and a low of 55° ‐ will you require heating or
HVAC in any of the tents?
23. Is there a requirement for Internet access?
24. Is there a requirement for restrooms?
25. We see the Solicitation and response form for the pricing, but do not see information on how to submit past performance or any additional technical volumes. Are there requirements or information for those additional volumes?
1. Vinyl sidewalls secured at base from flapping.
2. Laptops may need to be plugged in A/V circuit. Collaboration tent to have a coffee pot but should be supported by the A/V circuit. The Poster Tent to have uplighting circuits and may need to support one or two laptops.
3. No.
4. Prefer peak mounted (low noise).
5. No. ADA stage access not required.
6. Yes. Tables should include skirting. (see update)
7. No. Tents are small. Microphones are to support speaker if needed.
8. Amendment 003 changed the projector screen requirement to TV monitors.
9. Amendment 003 changed screens to TV monitors
10. Government will provide trash removal
11. Not intended to be an anti‐scalable fence.
12. Disregard First Aid station. No longer a tent requirement. See attached for amended statement.
13. Disregard, no clear ceiling necessary.
14. No.
15. Will work with vendor on mutually defined HWA plan, if necessary.
16. No. Tent plan has been approved by local FM and complies with NRNW Fire & Emergency Service
Requirements.
17. Amendment 003 changes projectors to elevated TV monitors with stands.
18. Parking will be available during set‐up and tear down only. Trucks and forklifts will not be able to remain during the event. Work with event coordinator for generator plan/requirements.
19. No tent stakes to the asphalt will be allowed. All tents to be secured using ballast, preferably concrete.
20. No boneyard space available for spare equipment.
21. No. Additional space for staff support not available.
22. No.
23. Internet access support by vendor not required.
24. Restroom support being provided by local facilities vendor.
25. Providing past performance is not required at this time
