About this file

This is a Questions and Answers document for federal contract N0018926QW278 addressing clarifications on equipment supply and installation requirements for an audiovisual system.

The document clarifies three primary procurement questions. First, quotations must include all ancillary materials and parts necessary for complete installation beyond the primary equipment listed in the Statement of Work, including cabling, connectors, mounting hardware, conduit, and other incidental installation materials. Second, the projection screens are approximately 9-12 inches diagonal with a viewing distance of approximately 50-70 feet, information required for determining proper lens specifications. Third, regarding integration with existing Government Furnished Equipment, no signal flow diagrams are available; however, the existing system includes a DataVideo HS-3200 Video Switcher used for live streaming that outputs standard HDMI signals to a rack containing a Tesira "BIAMP" Server-IO and a Crestron "3 Series" Advanced Control Processor, CP3N. The contractor is expected to integrate new hardware with these existing components as specified in the Statement of Work.

Questions and Answers

N0018926QW278

1. The Statement of Work identifies the primary equipment to be provided and installed, such as the projectors, LED displays, switching system, power conditioners, and projector mounts. However, we would like to confirm whether our quotation should be limited to supplying and installing only the items specifically identified in the SOW, or if it is expected to include all ancillary materials required for a complete installation, such as cabling, connectors, mounting hardware, conduit (if required), and other incidental installation materials.

a. Answer: Yes, expand to all ancillary or additional requisite materials and parts to facilitate installation

2. Do you happen to have any drawings or pictures of the room? Specifically, we need to know the size of the projection screen and how far away it will be mounted to accurately determine the proper lensing.

a. Answer: distance to screens is approximately 50-70 feet and screens are approximately 9-12 diagonal.

3. In reviewing this RFQ, the requirement seems to allude to us installing new hardware into an existing system with Government Furnished Equipment. That said, there is not any indication of what existing hardware is in place that we are expected to re-use/incorporate into the new technology. Can you please reach out to the customer and see if they can provide signal flow diagrams of their existing system? Furthermore, can they confirm if there is custom programming (this most likely would be the case if they have a Crestron touch panel) and if so, if they can provide the source code at time of award?

a. Answer: There are no existing diagrams available for the system. The items requested in the statement of work are what is required for the installation and repair of the system. The hardware the Public Affairs team uses involves a DataVideo HS-3200 Video Switcher that is used for the live stream. This device has standard HDMI outputs for sending a signal to the rack that houses the Crestron device. The Crestron and other device are below:

i. Tesira “BIAMP” Server-IO

ii. Crestron “3 Series” Advanced Control Processor, CP3N
