The requested desktop computers must be Dell or HP business class mid tower units featuring an Intel Ultra 5 225 processor (minimum), 16GB RAM, 512GB SSD, DVDRW optical drive, 2 DisplayPorts, 1 HDMI port supporting 4K resolution, Windows 11 operating system, keyboard, and mouse. No refurbished products will be accepted. The monitors must be Dell, HP, or Viewsonic models measuring 22-24 inches with support for both HDMI and DisplayPort connectivity and 1920x1080 resolution capability, with cables included to connect monitors to CPUs. Sealed written bids must be received by 2:00 p.m. on Tuesday, September 22, 2026, at 1592 Norman Drive, Valdosta, GA 31601, addressed to Terri Dinkins. Electronic submission will not be accepted. Bids will be opened publicly at the Board of Education building on Norman Drive. No demo units are required. The Technology Department will evaluate proposals and make a recommendation to the superintendent within thirty working days of bid opening.

Desktop computers must include a three-year warranty covering parts and labor. Monitors require a three-year warranty with advanced replacement and free shipping both ways. Lowndes County Schools is an established HP Self-Maintainer and formerly maintained Dell equipment directly. Vendors bidding Viewsonic monitors must provide a manufacturer letter of authorization. All proposals must clearly specify shipping costs, with delivery to the district's loading dock. Bidders must provide detailed support processes and warranty claim submission procedures, including all related costs and any applicable up-charges. Vendors must indicate whether bid pricing will be honored for additional purchases and, if so, the duration of the price hold. Established vendors with satisfactory history in Lowndes County Schools are not required to submit references; all others must provide three references from previous customers, preferably school systems. While price is a significant factor, the evaluation will also consider vendor history in the education market, past performance with the district, positive reference evaluations, and warranty and service proposals.

Request For Sealed Proposals – September 2026 PC Bid Proposals must be received by 2 pm, Tuesday, September 22

Please read the requirements for the proposal carefully.

Sealed, written bids must be received by 2 pm, Tuesday, September 22. Electronic submission will not be accepted. The school system reserves the right to reject any and all bids, to waive any and all formalities, and to accept the bid that in its judgment will be in the best interest of the system.

These bids will be evaluated by the Technology Department of the Lowndes County Schools. The department will make a recommendation to the superintendent as to which bid best meets the needs of our schools and which best satisfies the requirements detailed in this packet. While price is an important consideration, it will not be the sole determining factor in the selection of a solution. An established history in the education market, past satisfactory experience in the Lowndes County Schools System, positive evaluations by schools submitted as references, and comparison of the vendors’ warranty/service proposals will contribute to the selection of the solution.
