About this file

This document is a user guide for the City of Long Beach's Long Beach Buys procurement platform, which is powered by Periscope. The guide provides comprehensive instructions for Seller Administrators responsible for managing vendor accounts within the system. The guide covers three primary administrative functions: adding and maintaining user accounts, managing organization addresses, and maintaining commodity codes and services that determine bid notifications. When adding new users, Seller Administrators must enter contact information, create login credentials with security questions, and assign roles as either Seller (which grants access to bids, purchase orders, and electronic quote submission) or Seller Administrator (which allows full account management). The document details the step-by-step process for user creation, including the automatic generation of temporary passwords sent via system email.

The guide further addresses user maintenance procedures, including methods to inactivate user accounts, reset passwords, and modify user roles. Additionally, it provides instructions for maintaining vendor address information through the system, allowing Seller Administrators to edit existing addresses or add new addresses with various types such as general mailing addresses and bid mailing addresses. The final section covers the maintenance of commodity codes and services, enabling vendors to search for and add additional commodity codes to their accounts using keyword searches or dropdown selections. These commodity codes are essential for controlling which bid opportunities vendors receive notifications for within the Long Beach Buys platform.
