About this file

This document is a user guide for the Long Beach Buys procurement platform, powered by Periscope, which serves the City of Long Beach. The guide provides comprehensive instructions for Seller Administrators responsible for managing vendor accounts, user access, and organizational information within the Long Beach Buys system. The document outlines procedures for adding and maintaining users with two role types: Seller (allowing access to bids, purchase orders, and electronic quote submission) and Seller Administrator (providing full account management capabilities). Key administrative functions include user account creation, password management, user status modification (active, inactive, deleted, locked, or pending), and role assignment or modification. The guide details step-by-step instructions for navigating the platform, entering user credentials, configuring login questions and answers, and managing user access levels through the system interface.

The document also addresses organizational profile maintenance, specifically covering address management and commodity code administration. Seller Administrators can edit existing addresses, add new addresses with multiple address types (such as general mailing addresses or bid mailing addresses), and maintain detailed contact information including phone numbers, fax numbers, email addresses, and web addresses. The commodity codes and services section enables vendors to add additional NIGP (National Institute of Governmental Purchasing) commodity codes to their accounts through keyword searches or dropdown selection, allowing vendors to receive bid notifications for relevant procurement opportunities. The guide emphasizes that newly created users receive system-generated temporary passwords, and the creating administrator must communicate the Login ID to the new user to complete account setup. All procedures conclude with save and exit functions to ensure changes are retained in the system.
