About this file

This document is Addendum #2 for Invitation to Bid 2025-001 issued by the Huron-Clinton Metroparks for the Huron Meadows Golf Pump Station project. The addendum addresses multiple bidder questions regarding a pump station installation for the golf course's irrigation system. The bid requires furnishing, delivering, and installing a new pump skid package, including removal of the existing unit. The project has a preferred installation timeline of before the start of the 2025 golf season, with flexibility to install after 4/1/2025 in coordination with HCMA staff. The bid due date is January 28th, 2025, and a mandatory site visit was previously scheduled for January 10th, 2025.

The bid requires contractors to submit multiple bonds, specifically a labor and materials bond, maintenance bond, and performance bond. While attendance at the site visit is not strictly prohibited, lack of attendance may provide justification for disqualifying a contractor from bid award. The document indicates that manufacturer lead times are approximately 20 weeks after drawing approval, which could impact the project timeline. The bid is specifically for the golf course's irrigation system pump station, and bidders are expected to provide a comprehensive solution that minimizes interruption to golf course operations.

This Addendum is being issued to address questions received prior to the question and answer deadline.

Q: The bid document asks for the new pump skid to be operational by 4/1/2025. Manufacturer lead times are currently around 20 weeks after drawing approval. Please confirm.

A: The preference would be to have this unit installed before the start of golf season. However, if the install will occur after 4/1/2025, with coordination with HCMA staff a mutually agreed upon install date will occur in 2025, provided limited interruption to golf season, or occur near-end or at the conclusion of golf season.

Q: Can you please clarify if a bid bond is required?

A: We are requiring a labor and materials bond, maintenance bond, and performance bond for this bid. The bond forms are found in the bid packet.

Q: The specs read a mandatory site visit is scheduled for Friday January 10th, 2025. If I did not attend the site visit, does this disqualify me from bidding the job?

A: The site visit was scheduled to provide an opportunity for interested bidders to view the site and its parameters prior to submitting their bid. HCMA cannot prevent a bidder from submitting a bid on the BidNet platform for this solicitation, however lack of attendance to the site visit will provide reasonable justification to disqualify a contractor from award of bid.

Q: When is the work scheduled to be done? What are the start and complete by dates?

A: The preference would be to have this unit installed before the start of golf season. However, if the install will occur after 4/1/2025, with coordination with HCMA staff, a mutually agreed upon install date will occur in 2025, provided limited interruption to golf season, or occur near-end or at the conclusion of golf season.

Q: Are the contractors purchasing packaged, or is it pre-purchased?

A: The bid is for the furnishing, delivery, and install of a new pump skid package as specified in the bid document. Work also includes the removal of existing unit.

Q: Is this for the irrigation system?

A: Yes.
