1) Q: In section A. Background information it mentions 35-40 percent of collection being discarded and rest of materials being shifted. The numbers don’t seem to match up, could you please clarify this. Your rest of collection you have stated is 40600 shelves and it states that 35-40 percent of shelving is 1400 shelves.
A: Correction, there is a total of approximately 4,200 shelves on our second floor (NOT 42,000 or 40,600), and we are discarding approximately 1,400 shelves worth of journals. This has been corrected in the revised combined solicitation.
2) Q: In section B. project scope, it mentions that there are some floor plans attached and I cannot seem to locate them, could you please forward to me or tell me where I can find them at.
A: The floor plans have been posted to the combined solicitation.
3) Q: Is the number of wooden shelves approximately 1260 shelves ?
A: The number of wooden shelves being emptied (by discarding and shifting journals) and physically moved from the west end to the center area is between 600 and about 700, depending on whether we actually need the short sections along the balcony or not. Three or four additional rows of wooden shelving (each 7 sections long or 84 shelves per row) will be emptied of journals and discarded entirely, along with about 10 rows of metal shelving.
4) Q: Are we required to have an electrician onsite for the relocation of the study carrels ?
A: The carrells to be dismantled do have electrical wiring, so yes, we assume the contractors will need an electrician. Presumably our own Facilities people will need to be involved to disconnect the electricity. No, an electrician will not be required. USUHS will handle the electrical portion of the study carrells.
5) Q: For disposal of materials will there be an area for us to drop a dumpster if need be ?
A: Yes, right outside the LRC, assuming there is no objection to that from Facilities, Security, etc. The contractor might even be able to place a chute from the end of our second-floor outside balcony to the dumpster, so that the journals do not even need to be brought downstairs on the elevator. Yes, a space approximately the size of a standard 40 cubic yard dumpster will be available throughout the period of performance.
6) Q: Will this project qualify for a small business set aside?
A: This will not be a small business set aside.
7) Q: There seems to be a discrepancy in the amount of shelves involved in the effort. In the "Background Information" section, it states that "Approximately 35-40% of the collection (approximately 1,400 shelves) will be discarded and the rest of the materials (approximately 40,600 shelves) will be shifted to the east end and center area. The numbers do not work as stated. Please clarify the correct amount.
A: The total is 4,200 shelves, not 40,600. This has been corrected in the revised combined solicitation.
8) Q: We have not been able to access any floor plans although the synopsis/solicitation states that there are plans attached. Can USUHS please send the plans?
A: The floor plans have been posted to the combined solicitation.
9) Q: The dismantling of the study carrels involves disconnection and reconnection of power. Is this a simple unplug/replug or is hard wiring involved? If so, do we provide the electrician or does USUHS?
A: You will need an electrician. USUHS will handle the electrical portion of the study carrels.
10) Q: In regards to the March - June time frame, is that the total project time (for all trades) or is that the amount of time that will be allowed to the successful bidder?
A: The period of performance applies to the statement of work.
11) Q: Is the library open to the public that we may be able to look at some of the logistics on the move?
A: The library is not open to the public.
12) Q: Is there a complete inventory of what needs to be moved so that we may prepare a quote since we can not participate in the walkthrough tomorrow....or is there still an opportunity to still see the facility?
A: A list of items to be discarded has been posted. This list will be updated and a final list is anticipated at the end of the month. There will be no other site visits.
13) Q: The area of the library, second floor which will be vacated for expansion of study area, has shelving in it that is wooden on one side and cantilever on the other. Since some of this shelving is going to be reused to fill in the area which will be vacated by the removal of double decker study carrels, will only the wooden shelves go back or it will it be a combination?
A: Only the wooden shelves will be kept
14) Q: Please clarify the positioning of the dumpster. Will it be placed near the balcony area or will it be at the loading dock?
A: The space for the dumpster will be walking distance from the loading dock. The location of the dumpster will require the contractor to exit the building. The dumpster will not be near a balcony. See attached map titled, Dumpster Location Map
15) Q: On the list of items provided for disposal, it lists the item title and then you see "14-20" as an example. Does this mean their are 6 volumes to that title?
A: For the most part, yes. Although, there may be some variation for items and titles. In the example above, there are 7 volumes, not 6.
16) Q: Approximately 10% of the shelving units are currently empty, leaving spaces from collection to collection. During the merging process, will it be required that certain areas maintain some space, or are we to compress the entire collection, leaving whatever empty space result, to be concentrated to the end of the collection.
A: Someone on the LRC staff will mark the moved and existing shelving units for the beginning and ending of a title within the collection.
17) Q: Upon completion of the disposal who will determine the growth on each title, if there is any to be determined.? I did notice that there were a lot of titles that had empty space but the title itself ended before 2008.
A: See answer to question 16 (above)
18) Q: Are all the carrels from the top of the stairs moving ??
A: Yes, see diagram attached to SOW
19) Q: When do you anticipate the electrician walk through, and has there been any determination as to whether there will be a need for one at this time ?
A: There will not be an electrician walk through since there is no need for the contractor to provide an electrician.
20) Q: Does anyone know the manufacturer of the carrels ?? I know they have moved before but I am sure there is a specific way to take them apart to allow for the integrity of the unit so that it does not get damaged.? I would prefer to contact them to find out if there is a manual or a website that shows the proper installation and K/D of the units.
A: At this time, the manufacturer is unknown.
21) Q: Will the library be open during the move ?
A: Yes. Per the Statement of Work, “Hours of operation of the LRC: Monday through Thursday 7:00am — 10:45pm, Friday 7:00am – 4:45pm, Saturday 9:00am – 4:45pm, Sunday Noon to 10:45pm. The contractor will work within these hours.”
22) Q: The loading dock area where will the dumpster go ?
A: See attached map titled, Dumpster Location Map
23) Q: The time indicated in the rfp is for a start date of 3-9 with completion by June. Is there a restriction on how fast we are allowed to work? Or may we work as fast as we want so long as we stay within the hours described in the solicitation?
A: Currently there is no restriction.
