Questions and Answers from August 19, 2016 Industry Day for Conference Room Audio/Visual Installation 12th Floor Conference Room
1. What is the average number of people in Conference Rooms 1/2/3?
a. The conference rooms, when the temporary walls are dropped, can hold up to 120 people. However, generally, per conference room, they are used be 20-30 people.
2. How should the requirement be priced?
a. FEMA is interested in an innovative solution. That being said, having several options (good/better/best) or including optional items that can be selected by FEMA are the preferred methods for price proposals.
3. Is there a network connect available to the current displays?
a. No.
4. Is streaming part of the requirement?
a. Yes, please include at least streaming from the Regional Response Coordination Center (RRCC; located on the 11th floor) and be completely flexible between the three break out rooms and any combination/configuration of the rooms.
5. Is VTC required in each of the 3 rooms?
a. Yes.
6. There is currently a projector, should that stay?
a. Would like to see a new solution instead of the projector.
b. There is the FEMA Region IX logo that shall be maintained, however the orientation of the room can change to meet the best solution. (I.e. the “front” of the room can change.)
7. There are currently three (3) VTC carts, can that equipment be reused?
a. The goal of this project is a complete upgrade of equipment.
b. The three (3) VTC carts should be replaced and change to wall mount VTCs.
8. Is there a wiring map of the conference room?
a. There is only a basic wiring map and would not be helpful for this requirement. The selected vendor will have to run their own wiring.
b. Diagrams of the room are be provided. Auto-CAD files for the 11th and 12 floors are provided.
9. Is there a Wireless Network?
a. Yes, there is a FEMA approved 6 MB wireless network.
10. Do the floor boxes work?
a. Some do, some do not – locations not available at this time.
11. Does the Crestron control lights?
a. No.
12. Can a closet or other room be used to store the rack/equipment?
a. Yes, there is existing space/racks in the IT room, located no more than 100 ft. away. Location of IT room noted on the 12th floor diagram.
13. FEMA is requesting a VTC unit that is able to track speaker movement.
11th Floor Conference Room
1. Does the executive table need to stay?
a. Yes. However, microphones and Crestron inserts can be changed out.
2. Crestron shall be hardwired and allow for the three end chairs of the table to access control.
3. 2-way streaming shall also be available as in the 12th floor.
4. Is there a need to have multiple feeds?
a. Yes, minimum 2 feeds.
5. Does the clock have to maintain its current location?
a. No, however, it does have to be viewed from the head of the table.
6. Does the Crestron control lights and shades?
a. Yes.
7. Are copies of code available for 11th floor equipment?
a. They are not readily available.
8. Are scheduling panels part of the requirement?
a. Those would be nice to have but they are not required.
