About this file
This document is a Questions and Answers (Q&A) file for the HQ003425QE046 Lodging solicitation related to the Tunisian NDI Seminar. The Q&A addresses two key logistical inquiries from potential contractors. First, the document clarifies the room setup, confirming a U-shaped pattern for 52 participants, with additional seats for Course Director, support staff, interpreters, A/V specialist, and possible Tunisian guests. The Course Director and support staff will manage any overflow attendees during coffee breaks.
The second question addresses the hotel location requirements, with the government confirming that a hotel slightly beyond the 0.5-mile Pentagon radius (approximately 0.7 miles) would still be considered compliant with the Statement of Work (SOW), provided an on-demand shuttle to the nearest metro is available. This flexibility provides potential bidders with more options for meeting the lodging requirements for the seminar, which is scheduled for April 9-15, 2025, and involves approximately 46 USG-funded and 2 self-pay single hotel rooms in the Washington, D.C. Metropolitan area.

Question Government Response
It states a plenary room set in a U-shaped pattern for 46 but the number of chairs requested suggests a total of upwards of 70 attendees.
U-shaped pattern for 52 participants. The other seats are for Course Director, support staff, interpeters, A/V specialist, and possible Tunisian guests.
Are the number of tables/chairs overstated? Or who will be in charge of ensuring that additional attendees do not partake from the coffee break service? Course Director and support staff will ensure.
Would like to confirm whether a hotel located slightly beyond the 0.5-mile Pentagon radius—such as (~0.7 miles)—would still be considered compliant with the SOW.
Yes, we will consider approx .7 miles of walking distance to the nearest metro. In this case, we ask that on-demand shuttle to the nearest metro is also available.
