GSA Affiliated Custom Accounts (GACA) Google Drive™ and Google Sites™ Step by step instructions on how our customer agencies and civilian partners that have NOT incorporated the use of Google Apps for Government or Google Apps Premier into their workplace presented by Adrienne Meech

What is GACA?
Google Drive™ and Google Sites™ provide GSA employees a way to create, edit and share work from anywhere. Real-time collaboration can now be accomplished not only with other GSA employees, but also their customers and business partners.
The collaborative data stored on the Google Drive™ and Google Sites™ systems are compliant to the Federal Information Processing Standard (FIPS) 140-2. This standard ensures that access to and transmission of the files on these systems is via a secure web page that requires the TLS 1.0 encryption standard at minimum.
The GSA has provided a mechanism to ensure that customers and partners of GSA can access this information via a Gmail account. Although anyone can create the Gmail account, the account must be created with the string beginning “GSA.” (the letters G S A and a period), and must have two factor authentication turned on.
To create an account http://mail.google.com/mail/signup
First & Last Name Username; which must start with “GSA.” (the letters G S A and a period) Strong password Recovery email address
Enable 2-step Verification
Go to the “GSA” account settings to enable two-factor authentication via the cog drop down menu linked to the account.
Go to the Accounts and Import section and click on the Change password recovery options.
Select the 2-Step Verification link under the Password & Sign-in method section.

Logging into GACA Account
Login with password which will prompt the 2nd step verification you chose (text). Code will be sent to you. Enter Code – SUCCESS!
Use Google Drive™ to upload files or access shared files.
Using Google Sites™ Go to https://sites.google.com Login with password which will prompt the 2nd step verification you chose (text). Code will be sent to you. Enter Code – SUCCESS!
Use Google Sites™ to create and share webpages. Go ahead and add as shortcut to access through any other Google App (as long as you are logged in to GACA) Add as shortcut
Files you can store in Google Drive™ File sizes These are the documents, spreadsheets, and presentation sizes you can store in Google Drive.
Documents: Up to 1.02 million characters. If you convert a text document to Google Docs format, it can be up to 50 MB.
Spreadsheets: Up to 2 million cells for spreadsheets that are created in or converted to Google Sheets.
Presentations: Up to 100 MB for presentations converted to Google Slides.
All other files: Up to 5 TB.
Supported file types These are the most common file types you can view in Google Drive:
General files Archive files (.ZIP, .RAR, tar, gzip) Audio formats (MP3, MPEG, WAV, .ogg) Image files (.JPEG, .PNG, .GIF, .BMP) Markup/Code (.CSS, .HTML,.PHP,.C,.CPP,.H,.HPP,.JS) Text files (.TXT) Video files (WebM, .MPEG4,.3GPP,.MOV,.AVI,.MPEGPS, .WMV, .FLV, .ogg)
Microsoft files Excel (.XLS and .XLSX) PowerPoint (.PPT and .PPTX) Word (.DOC and .DOCX) XML Paper Specification (.XPS) Adobe files Autodesk AutoCad (.DXF) Illustrator (.AI) Photoshop (.PSD) Portable Document Format (.PDF) PostScript (.EPS, .PS) Scalable Vector Graphics (.SVG) Tagged Image File Format (.TIFF)
Takeaways This is for the customer agencies and civilian partners that have NOT incorporated the use of Google Apps for Government or Google Apps Premier into their workplace.
Ensure the customer does not inadvertently use their personal gmail account when requesting access to collaborative data stored on GSA’s Google Drive.
OCIO Security Staff will monitor all shared Google Drive™ and Google Sites™ , notifying GSA users of non-compliance with this process.
