The RFQ requires electronic submission via the BidNet (MITN) system, with no alternative submission methods accepted. Quotations must be submitted by an authorized company representative, and the document outlines comprehensive guidelines for vendor participation, including requirements for relationship disclosure, product specifications, and compliance with various regulations. The City reserves the right to award contracts based on multiple factors, including price, product availability, location, and quality, with the flexibility to award all or partial line items or make no award at all.
The pricing terms specify that quotes must be for new products in current production, with F.O.B. destination pricing that includes all delivery and additional charges. The City has a 45-day payment term and is sales tax exempt. Vendors must provide detailed information about their offerings, including potential alternate items, and are required to comply with various legal and regulatory standards such as E-Verify, non-discrimination policies, and the American with Disabilities Act. Additional requirements include providing Safety Data Sheets for applicable purchases and adherence to the Occupational Safety and Health Administration (OSHA) Hazard Communication Standard. The document emphasizes that estimated quantities are for bidding purposes and may increase or decrease, and the vendor must be prepared to supply items accordingly.
