About this file

This document is a Seller Checklist for Small Purchases from the City of Philadelphia Procurement Department, specifically for a micro purchase opportunity involving an HP B&W 3-in-1 Desktop Printer. The checklist outlines the required steps for vendors to submit quotes through the PHLContracts.phila.gov platform. Vendors must complete all mandatory tabs including General, Items, Questions, Terms & Conditions, Attachments, and Summary sections before submission. The procurement will be awarded as a whole or by line item, whichever serves the City's best interest, to the lowest responsive and responsible bidder. Vendors must quote all items to be eligible for award consideration, and pricing must remain firm during the hold period. Vendors are instructed not to deliver or provide services until officially notified by the department.

The checklist requires vendors to confirm their seller role status, answer whether they are certified as a Local Business Entity (LBE), provide unit costs for each listed item, and answer all mandatory questions. Critical documentation requirements include an executed Consent & Authorization form, which must be on file in the vendor profile prior to quote consideration, and vendors have the option to submit an LGBTQ Applicant Opportunity Data Form. All validation warnings must be resolved before quote submission, and vendors are required to download and review all attachments and terms and conditions provided in the bid package. Item specifications must be submitted with bids to ensure compliance with procurement requirements.
