About this file

This Scope of Work document outlines a fleet inventory project for the City of Atlanta's Department of Public Works, Office of Fleet Services. The City seeks a qualified vendor to conduct a comprehensive physical inventory and reconciliation of approximately 6,500 to 7,000 city-owned vehicles and equipment. The project encompasses three primary tasks: fleet count and verification, record reconciliation and reporting, and stakeholder coordination with audit support. The contractor must physically verify assets across multiple city facilities and satellite locations, facilitate drive-through verification events scheduled by the Office of Fleet Services, and cross-reference vehicles against existing departmental records. Key deliverables include interim milestones marking completion of inventory counts for each department, a master inventory report upon project completion, and photographic documentation of unsafe or aged vehicles. The project must be completed within sixteen weeks of the start date, with weekly progress reports submitted each Monday by noon in dashboard or spreadsheet format.

The anticipated budget for this project is not to exceed $225,000 for the entire term. Vendors must meet minimum qualifications including at least five years of experience conducting large-scale fleet or asset inventories with at least two years supporting governmental agencies. The contractor must achieve an 80 percent coverage target of the total fleet and provide audit-ready documentation including vehicle identification (VIN, license plate, make, model, color), photographic logs of damaged units, and recommendations for ongoing fleet management improvements. All contractor employees must complete background checks and wear visible company badges during site visits. The vendor will be escorted by Office of Fleet Services personnel into secure facilities, with schedules provided at minimum one week prior to each site visit. Inspections should occur during late afternoons or evenings post-city operations to minimize disruption. Final documentation must be provided in electronic format via email prior to project conclusion with no retention period required.
