About this file
This is a Request for Quotation issued by the State of Maine for an annual contract to establish printing services for flat print business cards. The contract period runs from January 1, 2010 through December 31, 2010, with the potential for extension up to three years at the discretion of the State Purchasing Director. The specifications require 3.5" x 2" business cards printed on one or two sides using 80 lb. white Mohawk Vellum recycled cover stock in the State Government Goudy Hand Tooled format with black or Reflex Blue ink. Based on historical data, the State anticipates approximately 250 orders annually. Delivery orders will be processed through AdvantageME or via the State of Maine Procurement Card, with orders of $5,000 or less emailed directly to the vendor and larger orders requiring Division of Purchases approval. Vendors must provide proofs within one calendar week of order receipt and complete delivery within one calendar week of proof approval.
The estimated contract value is approximately $8,000 annually based on 2009 spending patterns. All pricing must include delivery costs, with the majority of deliveries occurring in the Augusta area. Business cards must be packaged in rigid business card boxes. Vendors are required to accept the State of Maine Procurement Card as payment with no surcharges allowed, and the pricing quoted will be the final cost regardless of payment method. The State reserves the right to reject bids from vendors unwilling to accept this payment condition. Vendors must submit responses using a provided electronic spreadsheet indicating their customer code, unique supplier part numbers, company name, list price with two decimal places, and delivery timeframe in days. Vendors bidding recycled stock must indicate minimum 30% post-consumer content. Monthly reporting to the Division of Purchases is required by the 5th of each month documenting ordering agencies, order dates, quantities, and dollar amounts.
