About this file
This document is an Addendum #1 for the Forest Hills Public Schools (FHPS) Broadcast TV Studio Systems Request for Proposal (RFP), issued by Plante Moran on January 15, 2019. The addendum provides clarifications and updates to the original RFP, including revisions to the Appendix A Specifications for broadcast TV studio systems across multiple high schools. Key updates include adding specifications for prompters, tripods, camera accessories, microphone types, camera counts, speakers, monitoring equipment, and lighting for Northern High School. The document also addresses vendor questions regarding installation timeframes, equipment requirements, NDI solutions, monitor specifications, teleprompters, and training expectations.
The addendum emphasizes that vendors should submit updated Appendix A Excel spreadsheets with their proposals, providing detailed costs for equipment like 6 belt packs per school, 43" monitors for Tricasters and studios, and comprehensive NDI solution components. The school district does not plan to reuse existing equipment and expects vendors to provide wired microphones, tripods for remote cameras, and live equipment training for three broadcast studio teachers. Vendors are instructed to clearly itemize all costs, complete all tabs for base and alternate bids, and coordinate installation times around school schedules. The Appendix A Excel spreadsheet is available for download on the bid site, and prospective bidders can contact Melissa Auchter at Plante Moran for further information.

ANSWERS TO VENDOR QUESTIONS
The following are answers to vendor submitted questions.
QUESTION ANSWER
1. Please specify the hours that the contractor will be able to work in each of the schools.
Specific times of availability will be determined at the time of installation and will be based on school schedules. The school will work with the awarded vendor in making the spaces available as much as possible given the timeframe.
2. Please confirm that our installation teams will have full access to the Studios and will not have to be interrupted during the day to have the classroom be used.
Since school is in session the vendor may have to work around student use of rooms. The school will work with the awarded vendor in making the spaces available as much as possible given the timeframe.
3. Please clarify the number of belt packs that are required at each school. The specification says that the system shall have "minimal support for up to 6 belt packs" and there are no numbers in Appendix A Costs.
Provide costs for 6 belt packs at each school.
4. For the NDI solution, should this include video, audio inputs and remote intercom?
The NDI solution should include all equipment that the students need to broadcast from another space outside of the studio.
5. Are 43" monitors for the Tricaster going to be required at all schools? What should be the mounting option be at each school?
Yes. 43” monitors would be required at all schools.
Please use your best judgement for mounting them based on walkthrough visits.
6. Please confirm that each school will also get a 43" monitor for the studio and that it should be on a portable cart.
Each studio should get a 43” monitor in the studio so the students can view the broadcast if not on screen. Two 43” monitors should be installed in each studio control room.
7. Can you please confirm that the School District will provide CPU's for the teleprompters.
The school district will provide computers for the teleprompters.
8. Can you please confirm with the teachers that they will required 1 Teleprompter per camera.
Yes. We want one teleprompter per camera.
9. Please confirm if Lighting for Northern studio should be included in this bid? What is the size of the possible new studio that they will move into and what is the height of the ceiling?
Lighting for the Northern studio should be included in this bid. The size of the new studio is equivalent to a standard classroom with standard drop ceilings.
10. If there are "Alternates" that we are looking to include in this bid, how should be add these to your paperwork?
Please complete all Appendix A forms for any alternate solution submitted. This means complete all tabs for every solution. Please indicate which Appendix A form is your base bid and which is your alternate bid.
11. Please confirm that Control Room monitors, studio monitors and amplifier at Eastern HS will be re-used.
As was stated in the walkthrough the District does not plan to reuse any equipment.
12. Section 2.2 - Will the vendor be responsible for running any cables to classrooms outside of the production studio or will all cable runs be solely in the production studio classroom?
The District anticipates that the vendor would only be responsible for running cables within the production studio and classroom.
13. Section 2.4 - Will the vendor be required to test functionality of the NDI technology in every classroom to ensure the Kramer systems are functioning properly or are we simply responsible for getting the Tricaster connected to the network?
The vendor will not have to test in every classroom.
The vendor will work with the FHPS Technology Department to get the system connected to the network and test functionality in a sample of rooms in each high school building.
14. Section 2.5 part A - Does the training session for all teachers need to include a live demonstration of the technology or simply a PowerPoint, etc? If it is a live demonstration for all teachers, is it safe to assume that we would be demonstrating how to access content via the Kramer VIA Connect Pro?
The training session identified in part A for teachers refers to the three teachers that teach the broadcast studio class only not all teachers in the District. This should be live training of their new equipment in the studio.
15. Shall the studio mics, whether lavaliere/handheld/etc., be wired or wireless?
The microphones should be wired.
16. Are the remote cameras intended to be used as handheld devices, or are you looking for them to be on pedestals?
Remote cameras would not have to be on pedestals but the District would like tripods for remote camera use.
17. Can the "Appendix A" Excel spreadsheet be provided/emailed out to prospective bidders in native form?
The Appendix A Excel spreadsheet is available for download on the bid site.
18. For Other Costs would you like these items listed individually or in bulk? e.g lot of wire and connectors or 1000’ of this and 2 of those, etc
All costs should be clearly identified.
19. The Appendix A Excel File askes for several documents… should it be a PDF file and not an excel file? Please provide sample Excel file or call to help me understand.
The Appendix A Excel spreadsheet is available for download on the bid site. The forms are included in that spreadsheet
