About this file
This Request for Proposal (RFP) from Forest Hills Public Schools seeks proposals for a district-wide digital copier solution including equipment, installation, and consumable supplies. The District requires vendors to propose digital copiers in two ranges: 90-100 ppm (monochrome) and 40-50 ppm (monochrome), with specific quantities identified in Appendix A. All copiers must include network connectivity and a 60-month warranty covering parts, labor, travel, and delivery at no additional cost to the District. The vendor shall be responsible for removing existing copiers, installing new equipment, connecting to the network, and providing all configuration services. The RFP was issued in February 2021, with a proposal deadline of March 5, 2021 at 11:00 a.m. local time. Questions must be submitted by February 17, 2021. The anticipated award date is May 2021, with implementation scheduled for summer 2021. No pre-proposal vendors' conference will be held. The successful vendor must designate a single project manager and comply with criminal background screening requirements for all personnel accessing District facilities.
Pricing must include three separate cost components: equipment with 60-month warranty and installation services as the base bid; a per-copy cost for consumable supplies and maintenance (excluding paper) for 80 million copies across five years; and Papercut software license and implementation fees. The District will determine annual click-count adjustments by May 1st each year. A 5% bid bond or cashier's check is required with all proposals. Performance and payment bonds equal to the total Purchase Price may be required upon award. The District is tax-exempt except for enhancements to real property. The contract requires the vendor to provide two separate invoices: one for equipment and warranty costs and monthly invoices for supplies with actual meter reads. Training must be provided at no cost to the District, including two operator sessions, technical training for IT staff, and additional building-level training upon request. The District reserves the right to adjust quantities by 25% upward or downward without altering unit pricing and may award to multiple vendors or specific buildings.

Failure to properly clean may result in another contractor performing the cleanup work and back charging it to the vendor.
1.2 PROJECT DESCRIPTION
