About this file
Forest Hills Public Schools (FHPS) has released Addendum #2 for a Door Access Control (DAC) System Request for Proposal (RFP). The addendum updates the project timeline, with the anticipated finalist vendor interview date moved to Friday, August 1st, 2025, while maintaining the original proposal submission deadline of Tuesday, July 15, 2025, at 9am ET. The RFP seeks a comprehensive door access control system solution, with vendors required to propose new door position switches, cabling, and electrified door hardware primarily based on strikes mounted in door frames. The district will provide network switches, and the selection of the vendor will be based on multiple factors outlined in section 1.47 of the RFP, not solely on cost.
The addendum provides detailed information about ceiling types across various district buildings, noting that most facilities have drop ceilings in hallways and vestibules, with some variations including hard ceilings, open ceilings, and mixed ceiling types. Vendors are instructed to include unit pricing in Appendix A for potential additional work, such as installing painted metal conduit or raceway. The RFP emphasizes that any extraordinary or unforeseen installation challenges will be addressed through change orders using the provided unit pricing. Licensing requirements are referenced in section 2.12 of the RFP, with specific guidance on acceptable licensing models for the door access control equipment.

Door Access Control (DAC) System RFP
Addendum #2
To all interested vendors:
RFP updates
• Section 1.3 Schedule of events in the RFP document is hereby updated to consider a new anticipated finalist vendor interview date of Friday, August 1st, 2025.
Note the deadline for delivery of proposals remains Tuesday, July 15, 2025, 9am ET.
Responses to questions from vendors
1. What are the weights associated with the selection criterion?
Awarding will be based on a combination of the factors listed in section 1.47 of the RFP, and not solely based on cost.
2. Are there drop ceilings throughout the District?
The majority of buildings have drop ceilings in hallways and door vestibules, unless otherwise specified in the table included in this appendix, which the vendor should use to prepare its proposal. Reflective ceiling plans will also be provided for buildings undergoing construction to vendors that have expressed their intention to bid on this project.
Please refer to section 2.5.1 of the RFP for guidance of how to install cabling in areas without drop ceiling (e.g., hard ceiling or high open ceiling). In addition, please note that any extraordinary (requiring effort or quantity of additional materials beyond what it would be reasonable to expect on a project of this type) or impossible to foresee situations will be addressed via change order using the unit pricing provided in Appendix A. For such purpose, please include in the “DAC Options” tab of Appendix A the following unit pricing:
o Price per foot to provide and install painted metal conduit o Price per foot to provide and install raceway
3. Will the network switches be provided by the District?
Yes
4. Should our proposal consider new door contacts?
Yes, consider new door position switches and cabling for all doors where it is required, whether the door has electrified hardware or not.
5. Should our proposal consider new cabling for the door access solution?
Yes.
6. What types of electrified door hardware should we include in our proposal?
For the purposes of preparing your proposal, assume the following:
o All existing door hardware that needs to be integrated is based on strikes mounted in the door frame or has a connection point for the door access control system available on the frame.
o All new door hardware required will be based on strikes mounted in the door frame.
If a different type of door hardware is required (e.g., push bar with transfer hinge), it will be addressed via change order using the unit pricing provided in Appendix A.
7. You indicated in your presentation that there can not be licensing associated with the equipment. (…) Would 10-year licensing be considered a model that is perpetual?
Please refer to section 2.12 of the RFP for requirements related to licensing for the door access control solution.
