About this file

This file is a Pricing List Excel spreadsheet for a Potable Water Machine Maintenance contract for the Department of the Air Force Materiel Command Air Force Sustainment Center at Hill Air Force Base. The solicitation (FA8224-26-Q-0007) is a 100% small business set-aside for maintenance and repair services of 30 water/ice machines, with a five-year Blanket Purchase Agreement planned.

The pricing document details two primary maintenance categories: Scheduled Quarterly Maintenance and Unscheduled Maintenance. For quarterly maintenance, offerors must propose a per-machine price covering all expenses including labor, parts, and filters for specific machine models from manufacturers like Manitowoc, Scotsman, and Hoshizaki. The Unscheduled Maintenance section includes an assessment price per machine, a fully burdened hourly labor rate, and a materials repair category system with incremental pricing from $50 to $1,000 based on repair material costs. An initial maintenance assessment for all 30 machines is also outlined, with materials costs to be handled in $50 increments.

PRICING LIST

Instructions: Offeror shall fill in the price to provide quarterly maintenance, in accordance with the Performance Work Statement, for each machine. The price will include all expenses, including but not limited to, labor, parts, replacement filters, travel, etc. to provide the maintenance (see section 2.1.3 of the PWS). The per machine price represents the offeror's proposed price to provide maintenance for one machine. When a BPA is established, the Government will calculate the total price of each call/order issued by taking the per machine price and multiplying it by the number of machines in each respective category to be maintained/serviced.

Instructions: Offeror shall include in their proposed Assessment Price per Machine the cost of arriving on-site, the time and expense of evaluating and assessing why the machine is not functioning properly, what must be done to restore the machine to proper working condition, and a breakdown of the parts and labor hours necessary to make the repairs.

The offeror will also provide its Fully Burdened Hourly Labor Rate which will be used as the hourly rate charged to make the repairs needed to restore the machine to proper working condition.

The Materials Repair Categories will be used to pay for the parts needed to make the necessary repairs to restore the machines to proper working condition. If the material cost of the repairs is between $1 and $50, $50 will be paid for the materials. If the material cost of the repairs is between $51 and $100, $100 will be paid for the materials and so on.

Instructions: Because the machines have not had regularly scheduled maintenance performed on them, the offeror will propose the price to assess all 30 machines. This price will include the cost of arriving on-site and time and expense of evaluating all 30 machines to determine if any additional work other than regularly scheduled maintenance needs to be performed on them.

The Fully Burdened Hourly Labor Rate will be the same rate proposed for unscheduled maintenance and will be the hourly labor rate charged for providing maintenance (and repairs if needed) to all 30 machines for the first time.

The materials cost required to provide maintenance to all 30 machines for the first time, including replacement filters, will be paid for in $50 increments the same way material costs for unscheduled maintenance will be charged/paid. However the material cost for all 30 machines will be lumped together for one material cost charge/payment.

First Time Assessment Price for all 30 Machines
Fully Burdened Hourly Labor Rate$0.00
Materials costs for the initial maintenance of all 30 machines will be in $50 increments similar to the Unscheduled Maintenance listed above
