About this file
This is a Questions and Answers document clarifying requirements for an exhibit booth design and fabrication project for the United States Air Force Band.
The Government requires design, fabrication, and delivery of a modular trade show booth with the following specifications: a 10x40 space with actual dimensions of 10x30 that can be configured as a single 10x10 unit for smaller conferences. Key upgrades include replacing the center section and rounded end caps with collapsible aluminum frames and SEG graphics, redesigning the podium with a modular shipping footprint, upgrading the center display to a 75-inch or larger TV with future LED wall capability, and retaining existing 10x10 SEG graphics, frames, and lighting. Production-ready artwork files will be provided by the Government's graphics team at or shortly after award. Concept renderings for proposal submission may be line drawings; two full design concepts are not required until post-award. Staging, Government inspection, and acceptance will occur at Hangar 2, 201 McChord Street, Joint Base Anacostia-Bolling, Washington, D.C. 20032, unless the contractor is within reasonable driving distance of JBAB, in which case inspection may occur at the contractor's facility. Only two personnel are acceptable for booth assembly during inspection. The Government ideally requires inspection, acceptance, and completion prior to November 30, 2026, when the booth will ship to the Midwest Clinic; however, a later delivery date is negotiable if justified in the proposal. The band's booth management team handles all ongoing exhibit management, logistics, booth services, and storage at a base warehouse. Booth mockups and high-resolution graphic files are available on SAM.

Questions and Answers
1. What level of ongoing exhibit management would you need? None, the band has a booth management team. It looks like the exhibit would be stored on base, but would we still be responsible for managing the booth, ordering show services, coordinating logistics, etc.? The booth is stored at a base warehouse and management/logistics is handled by the band's booth team.
2. Please confirm whether staging, Government inspection, and acceptance will take place at Joint Base Anacostia-Bolling (or another NCR base)? If the contractor is located within a reasonable driving distance of JBAB, staging/inspection/acceptance can take place at their facility. Otherwise, this will need to take place at JBAB.
3. If inspection is on base, what is the exact building or space, and is it a hangar, warehouse, shop, or clean indoor room? We will conduct the inspection at Hangar 2, 201 McChord
St., JBAB, Washington, D.C. 20032
4. To keep costs down we would only have 2 people traveling to assemble the booth for inspection will this be acceptable? Yes.
5. Does 30 November 2026 mean inspection may begin that day, or that the exhibit must already be inspected, accepted, and complete by that date? Ideally inspection/acceptance/completion will take place prior to this date, because the booth will likely be shipped to Midwest during the last week of November. Pushing the date out beyond 30 November may be unavoidable.
6. Will Government-furnished artwork be provided on the date of award? Yes, or shortly thereafter. The band's graphics team can coordinate with the contractor once an award has been made.
7. Please also confirm whether that artwork will be production-ready files for the entire booth graphic package, or only approved concepts, with the contractor required to design the full graphics package? Yes, we can provide production-ready files as needed by the contractor.
8. Does the proposal submission require two full design concepts of the booth, or is that work required only after award? Only after award is sufficient.
9. On the PWS - 6.5 Proposal Information Required; bullet one: A Technical narrative and concept rendering responsive to the PWS. Question: Could you please define the
“concept rendering”? Are line drawing concepts acceptable due to time constraints? A concept rendering is simply to give us an idea of the booth's design and appearance. Line drawing concepts are acceptable.
10. The Midwest Clinic floorplan has United States Air Force Bands, 10x30, #1738; and The
United States Air Force Band, 10x40, #1637. Which booth is correct? Our Midwest booth space is #1637, which is a 10x40 space. However, the actual dimensions of our booth are
10x30. When the booth travels to smaller conferences, we have appreciated having the ability to make it modular - e.g., only bringing one 10x10 SEG graphic display and frame.
11. Is the Government open to considering a later delivery date if justified within the proposal, or is the November 30, 2026, delivery requirement firm and non-negotiable? Yes, a later delivery date is negotiable.
12. Could you please confirm whether the graphic/artwork files are available separately, preferably in PDF or another suitable high-resolution format? If available, we would appreciate receiving the files so the vendor can incorporate the required branding into its concept rendering and quotation. Yes, graphics have been attached to the solicitation on
SAM.
13. Can you give me a little more detail on what you need. I understand the aluminum excursion walls but see you need just a backwall by itself. Do you have a mockup for me to view as well. Booth mockups attached to solicitation on SAM. The changes/upgrades we are asking for are as follows:
a. Replace the center section and all rounded end caps with collapsible aluminum frames and SEG graphics, similar to the design already incorporated into the large
10x10 graphics.
b. Replace the podium with a modular design that has a smaller shipping footprint.
c. Upgrade the center display with a 75"+ TV, with the option to later incorporate an
LED wall display.
d. Retain our existing 10x10 SEG graphics, frames and lighting.
