Amendment #2 Government responses to vendor questions
1. Do you have a central unit that manages acquisitions operations for both libraries?
No. Each library purchases its own resources and will continue to do so.
2. Do the two libraries share the same vendor file (manage administration of vendor details centrally)?
Not at this time, but they may be able to share vendor files in the future.
3. Do the two libraries share the same funds file (manage administration of fund details centrally)?
No. Each library has its own source of funding and will continue to do so.
4. Do the two libraries share the same license file for e-resources?
Not at this time, but we may be able to share license files in the future.
5. Do the two libraries share a single financial system (ERP)?
No. Each library has its own financial system and will continue to do so.
6. Do the two libraries share the same user file (manage administration of user details centrally)?
Yes. There is a single user list that covers both libraries.
7. Can patrons access e-resources licensed by either library?
Yes, but it depends on the resource and the access method. Some resources are available via the .mil network and others are available via the .edu network. (The Academy has two networks.)
8. In the specification, Section 4.6 references digital asset files that must be migrated to the new system. However, in Section 5 (Historical Information), there is no mention of the number of digital asset files in the collection. Can the USAF please provide the number of digital asset files currently in the collection requiring migration?
USAFA has about 15,000 digital asset files to migrate.
9. Can the USAF please project how many digital asset files they expect to be added to the collection annually, starting with FY2019?
We will expect to upload roughly 1500 digital asset files per year.
10. Are the digital asset files currently residing on USAF hardware or are they resident within a commercial application?
“The data migration process shall support the migration of all of the digital asset files that have been uploaded and stored with the legacy SaaS system.” i.e They are on the current commercial application.
11. Provide the following information abou the size and composition of your library collections. If you are completing the questionnaire on behalf of a consortium, provide the total sum across all institutions.
Total number of bibliographic titles (including e-books): 580,000 Total number of unique e-journal titles: approx. 200,000 Number of digital asset files: approx 15,000 Size of digital collection: approx. 600 MB
12. What is the total number of individuals who will require login access to the system (including part-time staff)?
Number of staff = 45
