About this file

This is a Questions & Answers document for solicitation FA487725Q0006 regarding Exercise Food Support Catering Services at Dugway Proving Grounds, Utah. The document addresses five key clarification questions from potential bidders.

The Q&A clarifies that while the original solicitation specified a 30x30 heated tent to seat 250 people, bidders may propose a larger 40x80 tent to accommodate the seating requirements. It confirms the contract will be firm-fixed price, with contractors able to base pricing on estimated labor hours or per-head costs, though no price adjustments will be permitted. The performance period is confirmed as February 2-7, 2025, with meal service requirements specified as lunch and dinner on February 2, followed by breakfast, lunch and dinner February 3-6, plus breakfast on February 7. The contractor must provide all labor, supervision, equipment (including mobile kitchen), and supplies for on-site food preparation to support over 350 personnel.

Exercise Food Support Catering Services

Questions & Answers 1

Answers by the Government will be in red.

1. On the original solicitation, it states that we need to provide 30x30 heated tent that will sit

250. However, according to a tent technician, I can only fit 96 seats. The suggested tent size we received is 40x80 which could sit up to 260 comfortably. Should we stick with 30x30 per solicitation requirement?

a. If you feel that a 40x80 tent would work better then you can use that for your quotation. I think the customer meant a 30x30 tent more as a minimum.

2. Can we charge per person per day for the heated tent, chair, and table?

a. The award for this requirement is a firm-fixed price contract, however if you want to charge for estimated labor hours or base part of your price estimated per head in your submission you can, just be aware that the price you submit is the price that you will be paid, no more no less, and no revisions.

3. Can we charge labor hours during meal services?

a. See answer above

4. I would like to clarify the meal schedule:

a. Feb 2- lunch + dinner

b. Feb 3-6: Breakfast, lunch, dinner

i. Breakfast must also be provided on the 7th of February as well.

5. The PoP date on the notice and solicitation attachment are different. Can you please confirm if the PoP is 2-7 February, 2025 or 2-6 February, 2025?

a. Apologies for the confusion, yes as per page 10 of the PWS we will require these services 2-7 February.
