Text version
1. Is there a current incumbent? If so, what is the award number?
No incumbent, new requirement
2. Is this a new requirement?
Yes
3. Will the government be tax exempt?
The government is exempt for all taxes on federal procurements. We will have to get back to you on what documents will be provided.
4. Is there any special security requirements for the facility?
See RFI
5. Can you provide a breakdown for the room spacing? I'm a little confused as far as the 10,000 feet and the ceiling height. Does a ceiling have to be a minimum of six to 8 feet high? If so, is there a limit on the height?
I need 10k sq feet of space. You can aggregate to 10k between 4 rooms, but one room must be 6k. Need ceiling to be above 8 ft to accommodate TOC equipment. No limit on how high, just can’t be less than 8 ft.
6. I also need further clarification on the 6000 feet for the separate room and the 200 feet for the additional room. I am just trying to visualize the requirement.
No more than 4 rooms. One room has to be 6k sq ft. One room has to be about 200 sq ft. Rooms 3 and 4 can aggregate to the remaining 3,800 sq ft to meet the 10k sq ft requirement.
7. What is the approximate number of people who will be attending?
70 teady state. Potential to >100.
8. Is there any wiggle room with any of the requirements? For example, can we use 12 foot tables instead of 8 foot tables? Are table is able to be combined to meet certain length requirements?
12 ft tables can substitute for 8 ft tables. Can’t change the number.
9. Will the government make an award from this source’s sought, or will there be a solicitation issued?
We will be issuing oral solicitations for this procurement based on the results from the sources sought.
10. Is the government able to provide any of the equipment needed?
No
11. Will any lead funds be available to put people and equipment in place?
Ni
12. Is the government open to outdoor accommodations?
No. I don’t consider an event tent outdoor accommodates, but safety, environmental, parking conditions remain in force – ie, parking in grass is no-go because by day 5 it’ll be muddy and unsafe.
13. Would an airport hangar be acceptable?
Aircraft noise doesn’t meet the safety requirement at an active airport. If compliance with the remaining environmental requirements can be met, and there isn’t aircraft noise, then yes.
14. Is this an all or nothing contract or would maybe 120 parking spots be acceptable?
No.
15. Are there any locations the government would prefer over other locations?
Crown Music venue
16. Are there any pain points the government has experienced in the past with this type of event or similar?
Yes. Locations that didn’t have sufficient heating/cooling, toilets, or cleanliness. Ie, pole barn at Ft Cavazos in 2020.
17. Is there a specific level of privacy the government would need from the public?
Yes, In RFI, “Authorized to provide own security to restrict access to rented facility rooms”.
