About this file
This document is a Questions and Answers (Q&A) file for the Pacific Coast Club Audio Upgrade project at Vandenberg Space Force Base. The Q&A covers detailed technical specifications for an audio-visual system upgrade, including key requirements such as reusing existing JBL speakers in the warrior room and ballroom, maintaining existing projectors, and implementing a centralized audio control system. The project involves installing Crestron equipment, adding five new touch panels in various locations, and implementing wireless microphone systems with HDMI and auxiliary connectivity.
The Q&A reveals the government's long-term goal of refreshing both audio and video systems, with the current phase focusing on audio due to cost considerations. The upgrade will include amplifiers capable of powering the entire building, three wireless microphones per room, and connections for laptops, DirecTV, and DVD/Blu-Ray players. The project requires additional equipment beyond the existing inventory, and contractors have noted some missing components will need to be purchased. The document indicates a need for a four-year warranty and highlights the complexity of the existing audio-visual infrastructure with multiple rooms and interconnected control systems.

Pacific Coast Club Audio Upgrade - Q&A
1. Question: Can we get a list of existing equipment? Speakers/rack/anything we are reusing?
Answer: As far as audio we only want to repurpose the existing JBL speakers that are in the warrior room and ballroom. For video we will be keeping the existing projectors and screens. Those will need to be connected. Brand is unknown, will work to find out.
2. Question: Can we get some photos?
Answer: Please see attachment for photos.
3. Question: Has the Crestron equipment already been installed at the site?
Answer: No work has been done yet.
4. Question: Is the existing equipment currently under its original warranty?
Answer: I think the warranty maybe over as we bought them two years ago. The items have never been opened or used so they still would be good if they did not come broken from the start.
5. Question: The Salient Characteristics references Lyme Technology Solutions—can you confirm if they’re acting as a consultant on this project?
Answer: This is not relevant to anything. Please see attached corrected salient characteristics sheet.
6. Question: Will the government require any type of warranty coverage after installation is completed?
Answer: With computers there is a four-year warranty requirement. With AV equipment I do not think there is a special requirement for that. If we can add four years that would be good.
7. Question: What is the long-term aim? The pictures show a typical Air Force ballroom complex. Do they want the whole thing refreshed?
Answer: At some point yes, we want both the audio and video refreshed. For the first plan we started out just focusing on the audio since that needs more help than the video does. Cost wise audio first is cheaper than tackling both together.
8. Question: They mention they have a lot of Crestron equipment in boxes. Do they have a list?
Answer: See attached for the list.
9. Question: Is there a site drawing?
Answer: See attached map that layouts where the current older audio, to be replaced, is installed throughout the building
10. Question: A list of video inputs required (PC, cameras, media player etc)
Answer: HDMI is all that is needed. For laptops, DirecTV box, and a DVD/Blu-Ray player. For audio connection we want to allow mobile devices to connect so there should be an auxiliary 3.5mm port and Bluetooth connection. Microphone connection should all just run through the Shure hardware.
11. Question: A list of video outputs existing or required (projectors flat panel etc)
Answer: For output there are three projectors in the ballroom and two in the warrior room. The ballroom has one touch panel that controls all three projectors either separately or simultaneously depending on if the room is used as a full room or in sections. They then have in the warrior room two wall touch panels to manage the equipment within the separate sections. They can also control the room as one space as well. Ballroom also currently has control of the warrior rooms equipment. There is a camera system in the two spaces to help watch what is happening with the equipment. This is its own system.
12. Question: Audio requirements amplifiers, loudspeakers, microphones (fixed and wireless)
Answer: The amplifiers need to be able to power the entire building as we want a centralized location for the control audio equipment which connects all the rooms together. Currently the audio is all separated out which is not convenient. Microphones will all be wireless, and each room should allow for two or three mics at a time.
13. Question: Control surfaces e.g touch panels and their locations.
Answer: See attached map for the locations. There currently are only three in the entire building. We wish to add five more. One in the heritage lounge, office, café/bar, gamer grounds, and ballroom.
14. Question: Any existing wiring diagrams.
Answer: There is no data I can provide about the existing equipment. Any documentation they may have had when it was installed is lost.
15. Question: CLIN 0001 references “existing Crestron equipment” but there is list of such equipment. What is to be installed?
Answer: The attached list is what we have and want installed. Multiple other contractors stated we are missing a few components to fully complete our project, so some additional items are needing to be purchased along with the labor.
16. Question: There are two rooms of GFE speaker, but no GFE amplifiers or any on the list of required equipment. Please clarify.
Answer: I am not sure what they mean by GFE speaker. Hopefully the attached list of what we already have helps answer their question.
17. Question: In the QA you reference “existing projectors and screen” but there is nothing on the list of required equipment to get the AV signal from source devices to the rack and then to the projectors. Please clarify your requirements.
Answer: When I noted screen I am referring to the pull-down projector screen, not a TV or anything that would receive some video input. It is tough to explain more about the current system as we have no documentation on it. Is there something specific they want to know I can try to figure that out? The other contractors we had that came on site looked at the equipment to determine what they can do with it. The projectors as far as connection to the computer is just a dvi cable adapted to display port that goes into the dock station.
18. Question: The quantity for all equipment is listed in the contract as qty “1”. Please provide quantities of the required equipment.
Answer: Not sure what they are looking at. There are quantity totals in the IGE document.
