About this file

This document is a Questions and Answers (Q&A) related to a Sources Sought notice for a federal contract opportunity to rent tents for an airshow event.

The contract opportunity is for the rental of tents, including delivery, setup, teardown, and removal, for the 2024 "Defenders of Freedom" Airshow at Offutt Air Force Base in Nebraska. The specific tent sizes, quantities, and accessories needed are outlined in an attached Statement of Work. The tents will generally need to be enclosed on 4 sides, except for the ADA tent which will not have sides. No flooring or air conditioning is required for the tents. Doors for ingress and egress will be needed, with the contractor providing recommendations on placement and quantity. Weight ballasts will also be required for each tent. Interested vendors must be able to comply with the Statement of Work to be considered capable of fulfilling this requirement.

FA4600_AirshowTentRental – Sources Sought Questions and Answers

1. They request side walls so need to know if the tents will be enclosed?

Assuming the tent supply companies are tracking that we’ll need to have 4-sides for the tents outlined above? During the show, we’ll have the lengthwise side (spectator side) open throughout the duration of the show. In the event of inclement weather, we’d close all 4-sides to protect the tables and chairs beneath the tent.

ADA Tent (30’x45’) will not have sides to facilitate accessibility (wheelchairs, walkers, etc.)

2. If enclosed will each tent require flooring?

None of the tents will require flooring.

3. If enclosed I'm assuming two doors per tent (egress and ingress) with a safety package (if enclosed) will be needed but if this can be confirmed that would be nice.

I’m assuming doors will be necessary but I’m relying on the contractor to provide recommendation as to where and/or how many doors

4. Will the tents have AC and if so would we be able to know the ducting location prior to install?

I’m not tracking any request/requirements to provide AC for any of the tents.
