Questions and Answers
Question 1: Is there any previous Incumbent? If so, can you share the contract # as well the Value?
Answer 1: The current A/V system has been in place for over 15 years. There was no incumbent for the Audio System only and the previous requirement included a different project scope.
Question 2: What is the estimated square footage of the conference room space in question?
Answer 2: The concerned ballroom space is approximately 8,596 sq ft. This includes the area commonly referred to as the “full” ballroom, the “Palm” room(s) and the lobby/vestibule areas.
Please see diagrams on pages 3-5.
Questions 3: Do you know the current manufacture of the speakers present now, and would you be looking to receive the same brand?
Answer 3: The end user is unfamiliar with the current manufacturer of the speakers present and does not have a preference to have the same brand. The audio system must be IAW all requirements in the SOW.
Question 4: When do you see the date of performance starting and the duration of the project?
Answer 4: The award will be made prior to 1 October and the period of performance will be within 60 days of award.
Question 5: Is there any particular form you would like to receive the bid request?
Answer 5: No particular form is needed for quotes. Please be sure to thoroughly read the RFQ and provide all the information that is being requested.
Question 6: Is the site visit mandatory?
Answer 6: No, the site visit is not required to submit a quote.
Question 7: Is there somewhere to store a dumpster/waste?
Answer 7: Yes, there is space on site where a temporary dumpster could be stored during the project.
Question 8: Does the ballroom have a backup audio system in place?
Answer 8: Delta Breeze does have a backup system currently in place until the new audio system is installed.
Question 9: What are the ideal days for performance?
Answer 9: Due to ongoing events that cannot be moved/canceled the ideal performance would occur Monday – Wednesday over multiple weeks if necessary.
Question 10: Pertaining to the Technical Specifications, Section 2. Work Site Conditions, subsection 2h, will the delivery of As-Built Drawings be required within the final documentation submittals?
Answer 10: Yes, as-built drawings will be required within the final documentation.
Question 11: Under the Technical Specifications document, Section 4. Work Description, the requirement states, “Contractor provides customer training for operation of fully functional A/V system. This will include a typed user guide with step-by-step instructions, graphics, and photos to aid in understanding system operations and use.”
However, based on previous site visit and reported information, the existing system includes microphone mixers and room-combining system that would not be Contractor-furnished or installed under this project and may or may not be fully functional based on previous service reporting.
May I ask if the existing system is to be demonstrated and provided instruction-for-use under this project? If the existing system or product is deemed faulty, would this repair/replacement fall outside of this project?
Answer 11: The contractor is responsible for providing training, documentation, and operational use for the equipment that is installed under this SOW. Any equipment not included in the SOW will be outside of this project. Any new equipment installed by the contractor for the repair/replacement is expected to fall under warranty / contract service agreement.
