About this file

This file comprises questions and responses from Walker County Government in Georgia regarding RFP 2025-11 for an SAP S/4HANA enterprise resource planning (ERP) system implementation. The county seeks to replace its legacy New World ERP system to serve approximately 50 business users across roughly 50 departments and divisions. The requested scope includes core functionality in finance, procurement, asset management, and project construction, with optional modules for online payment capabilities. The county plans a phased go-live approach beginning in Q2 2026, with no currently established timeline for individual phase completion. The county anticipates migrating seven years of historical data plus the current fiscal year from its existing systems, including master data, general ledger information, project structures, construction contracts, and purchase orders. Critical blackout periods for implementation include budget cycles in June-July and audits in November-January. The implementation partner is expected to recommend the optimal sequencing of module rollouts rather than follow a predetermined order.

The county operates as a single legal entity with the Health Department functioning as a component unit and follows GAAP and GASB standards for financial reporting. Current operations depend heavily on paper-based document management and manual processes, necessitating transition to a digital document management system. The organization requires integration with existing banking, budget, and payroll software systems through APIs and needs audit-ready reporting with segregation of duties controls. The county rejected a one-week deadline extension request and does not plan to leverage SAP Analytics Cloud dashboards. Support requirements are limited to Monday through Friday, 8 a.m. to 5 p.m. EST, and the county has not yet determined expectations for hypercare months or long-term Application Management Services engagement. No custom development is anticipated, and the implementation will follow a fit-to-standard approach with either on-site or remote delivery.
